About The Position

We are looking for a Service Advisor Assistant to join our growing team! The right candidate will be detail-oriented with a strong customer service and administrative background. The day-to-day duties include supporting our service advisors, processing service and warranty claims, and working alongside the warranty administrator to keep repair orders accurate, complete, and moving on time. Requirements

• 1–2 years of customer service, administrative, or automotive service experience preferred
• High school diploma or equivalent
• Previous dealership, warranty, or automotive experience is preferred
• Strong attention to detail and accuracy with paperwork and data entry
• Strong communication, organization, and interpersonal skills
• Ability to multitask and work in a fast-paced environment
• Basic computer skills and ability to learn dealership management and OEM warranty systems
• Positive, friendly attitude, along with an eagerness to improve
• Enjoy working in a dynamic environment
• Teammate with ability to collaborate across departments effectively
• Ability to learn new technology, service procedures, and warranty guidelines
• Valid driver's license and clean driving record

Responsibilities

• Support service advisors with customer follow-up, paperwork, and daily workflow so they can stay focused on the drive
• Help prepare, document, and process customer-pay, warranty, and internal repair orders accurately
• Assist the warranty administrator with claim submission, required documentation, and follow-up on pending, held, or rejected claims
• Verify repair order details (labor operations, parts, story lines, and authorizations) before claims are submitted
• Track claim status and follow up on aging or adjusted claims to keep the warranty schedule current
• Coordinate with advisors, technicians, and parts to gather missing information needed to complete and submit claims
• Keep customers and advisors informed on service progress, timelines, and any additional recommended work
• Maintain organized, complete, and accurate records within the dealership management system
• Help ensure a smooth and efficient service experience from check-in to check-out
