About The Position

The Service Administrator will provide administrative and customer service support for the Service Department’s daily functions.

Requirements

  • High school diploma or the equivalent
  • Strong communication and customer service skills.
  • Must be team oriented. Contributes to building a positive team spirit; Puts success of team above own interests.
  • General aptitude in working with common computer software (MS Office Suite, internet, etc.) to process orders.
  • Must be self-sufficient and driven.

Nice To Haves

  • Knowledge of aerial vehicles, equipment, and heavy & light duty trucks
  • Knowledge of inventory software (M3, etc.) to process purchase orders and tracking inventory helpful.
  • 6-12 months previous work experience

Responsibilities

  • Email customers/salesperson regarding customer damage with appropriate documentation
  • Obtain PO’s from customer after sales approves the invoice.
  • Obtains vehicle data after yard attendant checks in unit.
  • Prepare work orders shop technicians and customers.
  • Indicates on the repair order the exact repair instructions, making a special note of the main reason(s) the customer brought the vehicle in. Repair orders MUST be legible.
  • Act as a liaison between the customers and the service department regarding any mechanical issues that arise (planned or unplanned technical/mechanical issues).
  • Follows up on progress of each repair order during the day. Contacts customers by telephone regarding any changes in the estimate or time promised. Records changes on repair order in approved fashion.
  • Review every service repair order for proper completion and accuracy.
  • Add and/or change notes in repair orders.
  • Close repair orders.
  • Complete and file repair orders, billing forms, invoices, and requisition forms for service department.
  • Run reports for work orders and other business needs.
