About The Position

This role manages all administrative functions for the Service Manager, providing essential support to leadership in daily business activities and project coordination. The Service Administrator Sr. is responsible for handling sensitive and confidential information professionally and proactively, ensuring accurate and timely completion of various administrative tasks. This includes managing payroll/time management, generating reports, internal control reporting, and organizing meetings. The position also involves preparing correspondence, bills, statements, receipts, and purchase orders, ensuring all information is accurate and properly saved. A key responsibility is the correct preparation and processing of cash sale work orders, including payment processing and submission to the Credit Department. The role ensures daily processing of timesheets and timely submission of payroll sheets to the Payroll Department. Additionally, the Service Administrator Sr. assists with meeting preparation, maintains petty cash, and supports employees and Human Resources with insurance and benefit programs. The role also involves screening calls and managing correspondence with a high degree of professionalism.

Requirements

  • Formal Education: High School diploma or GED
  • Experience: 5-6 years
  • Able to easily and effectively comprehend written material and communicate orally and in writing with employees and customers.
  • Well versed in Microsoft Office Programs
  • Experienced and capable in retrieving, analyzing and processing data with the use of a computer
  • Capable of data entry of 35WPM+

Responsibilities

  • Manages all administrative functions for the Service Manager.
  • Provides administrative support to multiple assigned leadership.
  • Partners with leadership in daily business activities and project coordination.
  • Handles sensitive and confidential information in a professional proactive manner.
  • Completes routine daily, weekly, monthly tasks accurately and timely (payroll/time management, reports, internal control reporting, meeting scheduling/organizing/set up, etc.).
  • Prepares correspondence, bills, statements, receipts, checks, purchase orders or other documents.
  • Ensures information is accurate, copied and saved for reference daily.
  • Ensures cash sale work orders are prepared and processed correctly and are given to the Service Manager or job supervisor for collection.
  • Processes payment, deposit and sends to the Credit Department with a transmittal and deposit slip.
  • Ensures that time sheets are processed each day and time is entered into the system.
  • Ensures payroll sheets for the proceeding week are totaled, authorized, and sent to the Payroll Department each Monday.
  • Assists with meeting preparation (documents, presentations, catering, etc.) for leadership team.
  • Maintains petty cash, ensuring all money is accounted for and kept safe.
  • Completes petty cash reports, as necessary, ensuring Service Manager sign-off before submitting to the Accounting Department.
  • Assists employees and Human Resources in the administration of various insurance and benefit programs.
  • Screens and routes incoming calls and manages correspondence.
  • Performs other duties as assigned.
