We are one of the fastest growing dealerships in Manitoba with our growing customer base. As a Service Administrator you will be responsible for a wide range of clerical and administrative duties for the entire dealership. Duties of this position include, but are not limited to, answering the telephone and emails, greeting and supporting customers with all needs, filing, and scheduling service and maintenance appointments.

Requirements

  • Previous experience in automotive an asset
  • Highly resourceful, adaptable, and flexible in fast-paced environments.
  • Strong proficiency in Microsoft Office, including Excel and Word.
  • Skilled in organizing and maintaining filing systems and databases.
  • Excellent analytical and problem-solving abilities.
  • Professional telephone etiquette and strong interpersonal communication skills.
  • Strong written and verbal communication skills for interacting effectively with all levels of the organization, including executive leadership.
  • Demonstrated strong customer service orientation.

Responsibilities

  • Manage stock-in processes for new and pre-owned vehicles, including maintaining filing systems, updating invoice books, printing disclosure forms, and reviewing website listings for accurate pricing, photos, and comments.
  • Coordinate service-related tasks such as scheduling maintenance and missed service appointments, following up on POI work orders, and assisting with special-order parts.
  • Support warranty operations by following up with customers and assisting the dealership with warranty claims, inquiries, and required documentation.
  • Process and coordinate all service department paperwork, payments, and required documentation while performing general clerical and administrative duties.
  • Organize, maintain, and coordinate company records and files, ensuring accurate data collection, report preparation support, and smooth departmental workflow.
  • Any other duties assigned
