About The Position

The Senior Wealth Planning Associate plays a central role in delivering an exceptional client experience and advancing Heritage’s financial planning and tax platform. You will report to the Director of Financial Planning & Tax and work day-to-day alongside Wealth Advisors and Senior Wealth Advisors to prepare for client meetings, execute planning and tax deliverables, and support investment and family office work—while also helping to develop Associates and Interns. In this role, you will collaborate across internal teams and with clients’ outside professionals (e.g., attorneys, CPAs, business managers) to move work forward efficiently and accurately. The right candidate brings strong technical skills, clear communication, sound judgment with confidential information, and a continuous-improvement mindset.

Requirements

  • Bachelor’s degree required (preferred: accounting or finance).
  • 3–5 years of relevant experience in financial planning, tax, accounting, wealth management, or a related field.

  • Credential completed or in progress (CPA, CFP, EA, or CFA).

Nice To Haves

  • Experience supporting ultra-high-net-worth clients and complex planning needs (e.g., trusts, concentrated stock, business owners, multi-entity structures).
  • Exposure to tax preparation or review (individual, trust/estate, partnership, nonprofit, or gift returns).
  • Familiarity with CRM and financial planning platforms (or similar systems) and comfort improving workflows with templates, checklists, and automation.
  • Experience collaborating with external professionals (CPAs, attorneys, business managers) and coordinating work across multiple stakeholders.

Responsibilities

  • Partner with advisors to support client relationships in a team-based model; anticipate client needs and communicate progress early.
  • Lead or support client meeting preparation (by client segment) including data gathering, agenda/materials creation, and post-meeting follow-through; document interactions accurately in the CRM.
  • Coordinate onboarding with Operations to ensure a smooth client experience and timely completion of paperwork and account activity.
  • Deliver comprehensive planning, tax, and investment support, including projections and estimated payment analyses; prepare tax returns and related filings across individual, trust/estate, partnership, nonprofit, and gift matters (as applicable) under appropriate supervision.
  • Review and summarize estate planning documents and coordinate follow-up with the advisor team and, as needed, outside counsel.
  • Collaborate with clients’ outside professionals (attorneys, CPAs, business managers, boards) and interact with third parties (e.g., IRS, Social Security) when directed.
  • Provide family office support as applicable: maintain QuickBooks and reconciliations; build reporting packages; execute bill pay; track trust distributions; prepare Crummey notices for ILITs; and monitor loan/payment schedules. Delegate repeatable work to Associates as appropriate while remaining accountable for quality and deadlines.
  • Apprentice directly with Wealth Advisors and Senior Wealth Advisors through hands-on client work, real-time coaching, and increasing ownership of planning, tax, and investment deliverables.
  • Coach and develop Associates and Interns by providing training, feedback, and quality review to build technical skills and sound judgment.
  • Collaborate across client teams to maintain continuity, ensure effective handoffs, and deliver a consistent client experience.
  • Escalate risks and issues early with clear context, impact, and recommended options.
  • Improve how we work by documenting and sharing templates, checklists, and best practices; contribute to initiatives that increase quality, efficiency, and scalability.
  • Use technology (including AI-enabled tools) responsibly to increase accuracy and consistency while maintaining confidentiality and compliance.
  • Build relationships with peers and centers of influence in the industry.
  • Participate in firm events and client experiences as needed.
  • Maintain a credentialing and continuing-education plan; engage with relevant professional and community organizations.
  • Represent Heritage in the local community by living our values and communicating professionally.
