About The Position

Responsible for assisting the Scheduling Manager in assigning and providing direction to Scheduling Specialists. The role assists with ensuring schedules are completed accurately and efficiently by providing a level of leadership in the workstation. This position generates reports, analyzes output to validate data, and takes action as necessary to ensure data is processed in accordance with established Entertainment division guidelines. Examples of data include venue budget reporting, team member position management, contract hour reporting, and Entertainment timecard policy verification. The Senior Specialist provides support to both team members and management on process guidelines related to company policies/practices and troubleshooting system errors, reporting issues to appropriate IT partners. They also provide information and records relating to team member general information, account codes, position codes, skill codes, and account numbers, reinforcing the application of all company policies and procedures. Understanding DOH guidelines as they apply to Entertainment GOP Procedures and providing suggestions to leaders for compliance is crucial. The role ensures established policies and practices related to scheduling and timecards are followed, escalating issues as necessary. They create and maintain official Entertainment Scheduling documentation, including Standard Operating Procedures and work guides. The position assists with the daily maintenance and weekly review of team member timesheets and retrieves historical records as needed. They respond to management and team member questions regarding scheduling and specific Entertainment pay practices/policies. Investigating and completing General payroll adjustments, as well as assisting with Travel time payroll adjustments, is part of the role, ensuring accuracy and need before submitting for approval. A weekly schedule for assigned areas is completed using the scheduling database, balancing business needs and team member availability to minimize overtime and report pay, with adjustments made as needed based on various factors. Collaboration with departmental management ensures team members are utilized in proper roles, with recommendations for additional training to increase skill base. Potential system processing issues are recognized and brought to the manager's attention. The role assists in testing Timekeeping software upgrades and recommends corrective action. They serve as backup to all department positions and, in the absence of Scheduling Management, oversee venue operations and act as the first point of contact for team members. Active participation in Environmental, Health & Safety responsibilities is expected. Other duties as assigned.

Requirements

  • High school degree or GED required.
  • 1-3 Years: Scheduling experience and previous leadership experience or equivalent combination of education and experience is required.
  • Proficiency in MS Office systems is required.
  • Strong analytical and organizational skills.
  • Strong communication skills with a high degree of tact.
  • Strong multi-tasking skills.
  • General working knowledge of computers and office software.
  • Ability to interact professionally with multiple internal and external partners.
  • Ability to perform work on multiple, diverse assignments simultaneously.
  • Ability to sort through large quantities of data with moderate levels of complexity.

Responsibilities

  • Provides direction to the Scheduling Specialists and oversees the daily operation.
  • Assists in the training and development of new Scheduling Specialists.
  • Generates reports and analyzes output to validate data and take action as necessary to ensure data is processed in accordance with the established Entertainment division guidelines.
  • Provides support to both team members and management on process guidelines as it relates to the Entertainment divisions superuser access regarding company policies/practices and troubleshooting errors within the system.
  • Reports system issues appropriate IT partners.
  • Provides information and records relating to team member general information, account codes, position codes, skill codes, and account numbers.
  • Reinforces the application of all company policies/procedures.
  • Understands DOH guidelines as it applies to the Entertainment GOP Procedures and provides suggestions to senior and venue leaders ensuring compliance while maintaining a high level of professionalism.
  • Ensures that established Policies and Practices relating to scheduling and timecards are being followed, escalates issues as necessary.
  • Creates and maintains official Entertainment Scheduling documentation to include Standard Operating Procedures, work guides and other such documents.
  • Assists with the daily maintenance/weekly review of team member time sheets.
  • Retrieves historical records as needed.
  • Responds to questions posed by management and team members relating to scheduling and specific Entertainment pay practices/policies.
  • Investigates and completes General payroll adjustments as well as assists with Travel time payroll adjustments received from Management to ensure accuracy and need.
  • Submits the adjustment for Departmental approval.
  • Completes a weekly schedule for assigned areas using scheduling database.
  • Balances business need and team member availability to provide schedules that minimize overtime and report pay.
  • Adjusts schedules per Policy/Procedure as needed based on attendance levels, special events, call-ins, and other factors.
  • Works with departmental management to ensure team members are utilized in the proper roles, may provide recommendations of additional training to increase skill base.
  • Recognizes potential system processing issues and brings to the attention of manager.
  • Assists in testing Timekeeping software upgrades as needed and recommends corrective action based on defined department policies/procedures.
  • Serves as back up to all department positions and in absence of Scheduling Management oversees the operation of venue and is the first point of contact for team members.
  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.
