About This Role The role supports service operations by coordinating daily technician schedules, dispatching / invoicing work orders, and supporting account managers with T&M work. The ideal candidate is self-motivated, attentive to detail, has strong organizational skills, and can leverage technology to enhance the communication and operational efficiency of the service branch.

Requirements

  • High School diploma or GED
  • 2+ years of customer service experience.
  • 1+ years of experience supporting customers via telephone and email.

  • Experience in the HVAC industry.
  • Experience with scheduling field service technicians.
  • Excellent verbal and written communication skills.
  • Strong organizational skills.
  • Excellent attention to detail and accuracy.
  • Experience with Microsoft Office.
  • Experience with Salesforce and Microsoft Dynamics 365

Responsibilities

  • Manage daily schedules for field engineers, ensuring prompt response to service requests and maximizing efficiency.
  • Prepare, manage, and maintain work orders, and all related service documentation.
  • Manage end-to-end invoicing processes for service workorders, including coordination with internal teams and administrative follow-up.
  • Manage time and material invoices, and accounts receivable.
  • Manage Purchase Orders (POs) throughout the account lifecycle.
  • Support the creation, administration, and renewal tracking of service contracts.
  • Act as the primary administrative point of contact for customers regarding service coordination, documentation, and invoicing matters.
