About The Position

This role involves providing comprehensive secretarial support within the Production Engineering department. The Senior Secretary will handle a variety of tasks including taking dictation, transcribing notes, composing letters, collating reports, maintaining filing systems, scheduling meetings, and distributing mail. The position requires a strong understanding of office procedures, excellent communication skills, and the ability to handle sensitive information securely. The role also emphasizes participation in worker involvement, safety meetings, and adherence to company policies and regulations, including those set by the Department of Energy.

  • Must be able to read, write, and comprehend applicable written and/or oral instructions.
  • Must be physically fit to perform the above job functions as determined by Medical Evaluation.
  • Must pass Company typing (50 wpm).
  • Must have two years of related experience.
  • Ability to comprehend the general import of dictation received, and to apply established rules of punctuation, spelling and grammatical construction adequate to producing satisfactory final transcripts of letters, reports, etc., in conformance with established Company standards of letter form.
  • All qualifications, work history, training, and education are to be verified by direct contact with former employers and/or documented proof.
  • Ability to perform the functions and responsibilities involved will be determined by a comprehensive interview and background evaluation.
  • Requires a Q clearance; however all qualified candidates will be considered regardless of their current clearance status.
  • The ability to obtain and maintain a Department of Energy Q clearance is required.
  • Requires Human Reliability Program (HRP) certification. If the successful candidate is not currently certified in the HRP, the certification process will be initiated upon assumption of the position. If the successful candidate is currently certified in the HRP, a review for HRP certification in the appropriate category will be performed by the hiring manager and the HRP Management Official, and the certification process in the appropriate category will be initiated upon assumption of the position.
  • Candidates accepting a job offer will be required to pass a pre-placement physical, drug screening and background investigation.
  • As an employee, you may be required to receive and maintain a security clearance from the United States Department of Energy in order to meet eligibility requirements for access to sensitive information or matter.
  • U.S. citizenship is a requirement for security clearance applicants.
  • All employees are subject to random selection for drug testing without advance notification.

Responsibilities

  • Take dictation by use of Dictaphone or other transcription equipment, involving generally used business, technical, or legal terms and expressions.
  • Transcribe shorthand notes to a prescribed form in accordance with accepted rules of punctuation, grammar, and spelling.
  • Compose letters as directed.
  • Collate completed reports with associated papers and attachments.
  • Post and maintain records associated with work assignments and resulting production.
  • Maintain an accurate filing system.
  • Keep a diary of pending correspondence and events.
  • Review outgoing correspondence for quality and format in accordance with established policy.
  • Schedule meetings and appointments, and handle routine paperwork.
  • Route and distribute mail within the department/division.
  • Answer questions on routine information from the supervisor and employees in own organization, and potentially in other organizations.
  • Take conference dictation as required.
  • Ensure accurate and neat files, records, postings and suspense systems as assigned.
  • Notify supervisor of pending appointments and coming events.
  • Ensure accurate release of information within scope of assignment.
  • Responsible for security of privileged, official, and classified information.
  • Coordinate with others in the organization and answer questions involving routine information.
  • Maintain a knowledge of applicable Federal, State, Department of Energy (DOE), Corporate and Plant rules, regulations, Labor Agreements and Plant-wide operating policies and procedures.
  • Attend and/or successfully complete training classes as determined by the Training and Development Technologies Department, through General Employee Training (Reference DOE Order 426.2), and Management.
  • Participate in worker involvement including input to work planning and methods to identify hazards and controls.
  • Understand a worker’s right to stop work when they feel their own or other’s personal safety is jeopardized.
  • Attend all required safety meetings and training.
  • Offer suggestions on improvements to the work environment.
