The Senior Property & Facilities Manager will serve as the primary operational authority across a portfolio of distinguished residential properties in San Francisco, CA. This individual will be embedded on-site across multiple residences and will be accountable for every aspect of property performance from strategic capital planning to day-to-day maintenance excellence. This is not a typical property management role. The role demands someone who operates with the discretion of a trusted confidant, the precision of a seasoned executive, and the instincts of a master problem-solver. Requirements

  • 5-10 years of progressive property or facilities management experience, ideally with high-end residential or private estate portfolios
  • Demonstrated ability to manage multiple properties simultaneously across a geographically distributed portfolio
  • Proven track record managing complex renovation and capital improvement projects from inception through completion
  • Experience building and managing vendor networks across multiple trade disciplines
  • Strong financial acumen with budget management and cost-control experience
  • Proficiency with property management or CMMS platforms
  • Excellent written and verbal communication skills — able to present clearly to ownership and executive stakeholders
  • Ability to respond promptly to after-hours or emergency situations as needed
  • Willingness to travel up to 50% across Bay Area properties
  • Must be able to legally work in the country where this position is located without visa sponsorship

Responsibilities

  • Provide strategic direction and executive oversight for all residential properties in the portfolio
  • Develop and implement multi-year facilities management plans aligned with the family's lifestyle, standards, and long-term goals
  • Establish performance benchmarks, KPIs, and reporting frameworks to evaluate property condition and operational efficiency
  • Advise ownership on capital allocation decisions, risk exposure, and property lifecycle planning
  • Architect and govern comprehensive preventative maintenance programs across all building systems (plumbing, electrical, HVAC, structural, and life safety)
  • Lead the evaluation, selection, and implementation of Computerized Maintenance Management Systems (CMMS) or property management platforms
  • Oversee scheduling, prioritization, and quality control of all routine and emergency maintenance activities
  • Monitor building system performance and lead root-cause analysis on recurring issues to eliminate disruptions
  • Negotiate, execute, and manage vendor contracts and service-level agreements (SLAs) with contractors, specialty trades, and service providers
  • Build and maintain a best-in-class vendor network across all trade disciplines; continuously evaluate performance, responsiveness, and cost-effectiveness
  • Serve as the senior point of contact for all general contractor relationships on renovation and capital projects
  • Lead end-to-end oversight of renovation and capital improvement projects, including scope development, budgeting, contractor selection, and delivery
  • Manage project budgets with full accountability for variance reporting and cost controls; drive value engineering without sacrificing quality or aesthetic standards
  • Coordinate with legal, finance, and ownership teams on permitting, compliance, and project documentation
