Requirements

  • Experience with Claude Code and process automation.
  • 5+ years in project management, operations, or chief-of-staff-style roles, ideally at a marketing, creative, or digital agency.
  • Deep, hands-on expertise with a project management platform (ClickUp strongly preferred; Asana, Monday, or Wrike experience is welcome).
  • Experience building workspaces, automations, and dashboards from scratch.
  • Comfortable building/using AI functionality within and outside of platforms.
  • Track record of managing complex, multi-stakeholder projects and ensuring successful completion.
  • Excellent written and verbal English communication skills.
  • Ability to run meetings across teams and seniority levels.
  • Ability to communicate clearly with internal teams and clients.
  • U.S.-based.
  • Comfortable working fully remote and being self-directed.
  • Comfortable being firm and pushing people to deliver while remaining respectful.

Nice To Haves

  • Experience scaling an ops or PM function and building a small team.
  • Exposure to influencer marketing, creator programs, e-commerce, or TikTok Shop.
  • Six Sigma, PMP, or similar process or quality background.

Responsibilities

  • Implement project management discipline across all departments.
  • Act as a right hand to the founders, launching and running new 0-to-1 initiatives.
  • Work directly with founders and department heads.
  • Build and enforce a company-wide operating system and project management platform (ClickUp).
  • Architect the ClickUp workspace, including folders, lists, statuses, dashboards, templates, and automations.
  • Build automations for client and employee onboarding/offboarding, weekly client tasks, and retainer/content workflows.
  • Partner with Senior Account Managers to organize pods, structure teams, and ensure project tracking and visibility.
  • Establish standardized status updates, clear task ownership, and a system to identify slipping tasks.
  • Manage end-to-end execution of projects across partners and teams.
  • Build and maintain detailed project timelines, workflows, dependencies, and launch plans.
  • Act as an accountability layer across account management, creator retainers, and in-house content.
  • Chase aging tasks and hold owners accountable.
  • Take new initiatives from idea to execution.
  • Build and lead the project management/operations team as the company scales.
  • Run leadership and portfolio cadences, including agenda preparation, KPI tracking, and ensuring decisions translate into completed work.
