About The Position

The Transformation Office within UI Health Care has an opportunity for a Senior Project Manager to join their team. As part of the Strategic Implementation Team, the role works independently, assuming primary responsibility for planning, directing, coordinating, and delivering project activities through the entire project life cycle (from initiation to hand off to customer) that are broad in scope. The Senior PM is responsible for achieving project objectives and completion on time, on budget, and for sustainably improving clinical operations. The incumbent may independently lead one or multiple medium to large-sized projects that have department or site-level strategic importance. Project work has moderate to high risk and risk interdependencies, may have several interrelationships, and may have moderate to high costs associated. Responsible for managing established budgets and participating in the creation and tracking of project budgets. The position requires strict adherence to budget management and guidelines of both the assigned department and the institution. Regularly provides project information to committees, project sponsors, and department leadership (may include Portfolio Leadership). This position requires a significant capacity to manage competing objectives, prioritize tasks, and communicate information in clear and unambiguous terms to management and end-user personnel. Project information may be visible at the committee and Department level (may include visibility to the Management Team and Portfolio Leadership (site/shield specific). The role may support projects of significant complexity, as part of a program team in support of higher-level project managers. Must have strong business acumen with the ability to work with people from a variety of functional backgrounds and build relationships across the organization. May require matrix supervision and evaluation of staff from other departments, divisions, and contractor/vendor resources. Also responsible for demonstrating the project-focused culture at UI Health Care, and advising other staff regarding project management practices, methods, and standards.

Requirements

  • Bachelor's degree in Business, Health Care, or a related field or an equivalent amount of education and experience.
  • Project Management certification (PMP) or other relevant project management certification.
  • 3 or more years of related, progressively responsible experience in health care administration, business, or operational planning with proven success in facilitating projects.
  • Outstanding project management skills to lead projects, identify business needs, provide effective solutions, and manage the necessary resources to accomplish goals and objectives.
  • Ability to direct project scope, planning, and tracking while meeting timeline and budget goals.
  • Demonstrated strong ability to translate complex data/information into simple, actionable insights.
  • Demonstrated experience working with and managing relationships with senior-level administration or leaders and ability to influence and motivate organizational constituencies.
  • Demonstrated ability to influence key stakeholders, integrating ideas to achieve outcomes successfully.
  • Demonstrated ability to manage financial, organizational, and staff resources.
  • Ability to manage multiple projects and prioritize work to meet deadlines.
  • Excellent written, verbal, and interpersonal communication skills. Ability to communicate complex information to all levels of the organization.
  • Proficiency in MS Software (Teams, Word, Excel, PowerPoint, and Outlook) and project management software applications.
  • Demonstrated experience working effectively in a welcoming and respectful workplace environment.

Nice To Haves

  • Master's degree in Business, Health Care or a related field.

Responsibilities

  • Define project scope, goals, and deliverables that support Health System performance improvement goals in collaboration with senior management owners and stakeholders from various departments; develop full-scale project plans and associated communications documents; communicate effectively project expectations to team members and stakeholders in a timely and clear fashion.
  • Review staff project plans and aid in the execution of plans. Ensure all projects include current state analysis with operational processes and data analysis, future state creation including pilots with proven success metrics, and detailed execution.
  • Work with all levels to understand operations, develop plans and workflow, and execute change management. Ensure communications at all levels, from department chairs to clinic staff.
  • Work closely with project owners/stakeholders on an ongoing basis; estimate resources and participants needed to achieve project goals. Assess needs for additional staff and/or resources and communicate recommendations to senior management.
  • Set and continually manage project expectations with team members and other stakeholders; delegate tasks and responsibilities to appropriate personnel; identify and resolve issues and conflicts within the project team in collaboration with senior management; identify and manage project dependencies and critical paths.
  • Plan and schedule project timelines and milestones using appropriate tools; track project milestones and deliverables; develop and deliver progress reports, proposals, requirements documentation, and presentations. Aid project managers in defining roles for each project team member to ensure all work is completed.
  • Help determine the frequency and develop the content of status reports from the project team, analyze results and troubleshoot problem areas; proactively manage changes in project scope; identify potential crises and devise contingency plans.
  • Define project success criteria and disseminate them to involved parties throughout the project life cycle.
  • Build, develop, and grow any relationships vital to the success of the project. Mentor other project managers.
  • Conduct closing reviews and create recommendations reports to identify successful and unsuccessful project elements.
  • Develop best practices and tools for project execution and management. Training staff members on these tools and best practices.
  • Supervise and/or mentor staff in the performance of duties. Provides advice and guidance to lower-level project managers and specialists as needed.
  • Demonstrate the “art of project management,” going beyond the mechanics of project management methodologies to build trusted relationships and act as an internal project management consultant to business and clinical teams.
