About The Position

Headway's mission is to build a new mental healthcare system everyone can access by solving the barrier of insurance. They have automated administrative work like credentialing, claims, and payment reconciliation. Over 75,000 providers use their software, serving over 1 million patients. Headway is building tools for therapists to run their entire practice, reimagining the experience of finding a therapist, and investing in platform foundations for scale. They are a Series D company with significant funding, seeking exceptional individuals to help achieve their mission and make this the most meaningful experience of their careers. About Provider Experience At Headway: Providers use Headway for their entire practice, and the tools they use daily impact the quality of care patients receive and the providers' ability to sustain their practice. Key administrative burdens include managing calendars, staying on top of messages, and coordinating scheduling with clients.

Requirements

  • 5+ years of product design experience, with real time spent on complex, workflow-heavy product surfaces.
  • Exceptional visual and interaction craft — and sweat the edge cases and states that make workflow surfaces trustworthy.
  • Systems thinker who can take a messy, multi-state problem and shape it into a coherent experience.
  • Data-informed — use qualitative and quantitative insight together to drive decisions.
  • Strong cross-functional partner who builds alignment and drives momentum with PM, Eng, and Data.
  • Comfortable with AI prototyping tools (Claude Code, Cursor, MagicPatterns) and see them as core to how you work.
  • Desire for work to make a meaningful difference — these surfaces shape how providers run their practice and how reliably patients get care.

Responsibilities

  • Own the design of Headway's calendar, scheduling, and messaging experiences.
  • Bring systems-minded craft to complex, state-heavy problems (availability, booking and reschedule, timezones, notifications, provider–patient messaging).
  • Ensure coherence with how providers manage their clients.
  • Help providers spend less time on logistics and more time on care.
  • Keep availability accurate so patients can book.
  • Use AI tools like Claude, Cursor, and MagicPatterns for prototyping and staying involved through launch and iteration directly in code.
  • Design calendar & scheduling features including availability, booking and reschedule flows, Google Calendar OAuth, and handling edge cases like timezones and conflicts.
  • Design messaging features including provider–patient messaging, attachments, and the notification/reminder system.
  • Systematically identify and fix high-value usability issues providers have flagged across these surfaces (EHR-craft papercuts).
  • Ensure scheduling and messaging are consistent with how providers manage their client list and profiles, in partnership with Product.
  • Talk to providers with research team support.
  • Raise the craft bar and contribute scheduling/messaging patterns to the Helix design system.
