About The Position

The UW School of Medicine’s Integrated Resources, Financial Operations team is seeking a Senior Procurement Contracts Specialist. This role reports to the Procurement Manager and is responsible for leading end-to-end procurement contracting for School of Medicine departments. The specialist will guide solicitations, negotiations, and contract administration from intake through closeout, ensuring compliance with federal, state, and University requirements while providing customer-focused service. The position also aims to strengthen standardized processes, elevate contract value, and support strategic sourcing through data-informed recommendations.

Requirements

  • Bachelor's degree and three years of experience in progressively responsible experience in purchasing and contracting management or related experience.
  • A track record of successfully managing multiple procurement projects and delivering projects on schedule.
  • Excellent written and verbal communication skills for a variety of audiences.
  • Ability to lead meetings, give presentations, and work with facts to be able to tell a story with numbers.
  • Demonstrated success in building and sustaining positive customer and other relationships.
  • Commitment to working within an organizational framework of continuous process improvement.
  • Proficiency with Microsoft Office Suite.

  • Background in higher education, particularly academic medical and/or research institutions.

Responsibilities

  • Plan and run competitive solicitations (RFI/RFP) and support negotiations to secure best-value agreements; partner with UW Procurement Services and legal counsel as needed.
  • Develop, review, and administer procurement contracts and amendments, including routing for delegated signatures and ensuring documentation, justifications, and approvals are complete and audit-ready.
  • Identify, assess, and mitigate contractual and financial risks; manage renewal/extension timelines and stakeholder communications to keep agreements current and compliant.
  • Serve as a trusted advisor to School of Medicine departments and suppliers, coordinating a seamless procure-to-pay experience and quickly resolving contracting issues that impact operations.
  • Lead or support contracts-focused trainings (e.g., office hours) and coach teams on direct buy limits, justifications, and practical application of procurement policy.
  • Create and maintain standard operating procedures (SOPs) and promote effective, consistent use of Workday procurement and contracting tools.
  • Use available reporting tools to analyze spend and contract coverage, identifying opportunities to expand contract-covered spend and advance strategic sourcing priorities.
  • Monitor contract and spend trends; share insights with stakeholders to strengthen compliance, performance, and decision-making.
