About The Position

The Senior Payroll Specialist processes accurate and compliant payroll across multiple pay frequencies while supporting the transition to Workday Payroll. Reporting to the Director of Payroll, this role collaborates closely with Payroll and HR Operations teams to ensure regulatory compliance and deliver a seamless pay experience using Workday Payroll and ADP Workforce Now.

Requirements

  • Hands-on experience processing payroll using Workday Payroll.
  • Experience working with ADP Workforce Now for payroll processing.
  • Minimum of 3 years of payroll administration experience in a multi-state environment.
  • Proven experience processing multiple pay frequencies, including weekly, biweekly, and semi-monthly payrolls.
  • Strong understanding of federal, state, and local payroll tax regulations.
  • Knowledge of Wage and Hour laws, garnishments, and unemployment reporting requirements.
  • Strong analytical skills with advanced proficiency in Microsoft Excel, including pivot tables, lookups, and data validation.
  • Ability to maintain a high level of accuracy and attention to detail in all payroll activities.
  • Ability to manage confidential employee information with integrity and discretion.
  • Excellent verbal and written communication skills with a strong customer service orientation.

Nice To Haves

  • Associate degree in Business, Accounting, Finance, or a related field, or an equivalent combination of education and experience.
  • Experience with ADP Workforce Now (WFN) strongly preferred.
  • Experience supporting payroll system implementations, migrations, or integrations, preferably involving Workday.
  • Experience with UKG/Kronos and ADP Time and Attendance systems.
  • Experience with payroll accounting, including reconciliations and general ledger interfaces.
  • Strong data entry and reconciliation skills with an eye for identifying discrepancies.
  • Ability to analyze payroll data and provide insights to improve accuracy and efficiency.
  • Commitment to continuous improvement and leveraging system capabilities to streamline payroll processes.

Responsibilities

  • Process weekly, biweekly, and semi-monthly payrolls in Workday Payroll and ADP Workforce Now, ensuring accurate calculation of wages, taxes, benefits deductions, and garnishments.
  • Support the transition from legacy ADP Workforce Now to Workday Payroll by providing training, guidance, and subject matter expertise to the current payroll team.
  • Perform parallel payroll processing and historical reconciliation in ADP Workforce Now as needed during the system transition.
  • Ensure payroll data integrity by maintaining robust audit controls, monitoring exception reports, and following documented payroll procedures.
  • Review and validate inbound time and attendance data from UKG/Kronos and ADP Time and Attendance, ensuring proper integration into Workday Payroll and ADP Workforce Now.
  • Conduct comprehensive payroll audits, including pre- and post-payroll validations, retroactive adjustments, off-cycle payrolls, and balancing of payroll results.
  • Collaborate with HR, Benefits, and Payroll Service Center teams to ensure accurate employee data, including pay changes, new hires, terminations, and leave-related pay impacts in Workday and ADP Workforce Now.
  • Maintain compliance with federal, state, and local Wage and Hour laws, multi-state tax regulations, and internal payroll policies.
  • Process and reconcile payroll tax filings and withholding payments in a timely and accurate manner.
  • Administer employee garnishments, tax levies, and child support orders in compliance with regulatory requirements.
  • Support payroll accounting activities, including general ledger interface validation, funding report review, and responses to audit requests.
  • Manage the payroll inbox and deliver exceptional customer service by responding promptly and accurately to employee payroll inquiries throughout the employee lifecycle.
  • Identify, recommend, and help implement process improvements by leveraging Workday functionality, automation, and reporting capabilities.
  • Create, maintain, and analyze payroll reports using Workday reporting tools and advanced Microsoft Excel features such as pivot tables, lookups, and data validation.
  • Support internal and external payroll audits by providing required documentation and ensuring adherence to SOX and financial control requirements where applicable.
