About The Position

The Senior Payroll Specialist - Tax has in-depth knowledge of best practices and practical expertise in processing payroll and payroll taxes. This role manages end-to-end multi-state payroll tax compliance, filing, and reconciliation, ensuring accurate tax withholding, reporting, and remittance for federal, state, and local agencies. They act as a subject matter expert (SME), resolving complex tax inquiries, managing agency notices, and improving system processes along with assisting with payroll processing.

Requirements

  • Minimum 4+ years of relevant experience
  • Bachelor's Degree
  • In-depth knowledge of best practices and practical expertise in processing payroll and payroll taxes
  • Expertise in end-to-end multi-state payroll tax compliance, filing, and reconciliation
  • Ability to ensure accurate tax withholding, reporting, and remittance for federal, state, and local agencies
  • Subject matter expert (SME) in resolving complex tax inquiries
  • Experience managing agency notices
  • Experience improving system processes
  • Experience assisting with payroll processing
  • Experience with tax filings (Forms 941, 940, W-2, state equivalents)
  • Experience reconciling tax payments
  • Knowledge of tax laws across various jurisdictions
  • Experience managing international tax reporting (for global companies)
  • Experience managing payroll tax vendor relationships (e.g., ADP, Workday)
  • Experience registering in new jurisdictions
  • Experience maintaining accurate databases
  • Experience resolving tax notices and agency inquiries
  • Experience conducting internal audits
  • Experience performing W-2 corrections
  • Experience collaborating with HR, Finance, and Legal to ensure tax compliance on employee benefits, stock options, and compensation
  • Mentoring junior specialists

Responsibilities

  • Oversee the submission of tax filings (Forms 941, 940, W-2, state equivalents) and reconcile tax payments.
  • Maintain up-to-date knowledge of tax laws across various jurisdictions and, for global companies, manage international tax reporting.
  • Manage payroll tax vendor relationships (e.g., ADP, Workday), register in new jurisdictions, and maintain accurate databases.
  • Resolve tax notices and agency inquiries, conduct internal audits, and perform W-2 corrections.
  • Work with HR, Finance, and Legal to ensure tax compliance on employee benefits, stock options, and compensation, often acting as a mentor to junior specialists.
  • Enters and maintains payroll data in computerized payroll systems.
  • Reviews timesheets and payroll reports to detect and reconcile payroll discrepancies.
