Requirements

  • 3-5 years of payroll administration experience, including multi-state payroll processing.
  • Experience with ADP Workforce Now or similar payroll/HRIS systems.
  • Knowledge of payroll tax regulations, compliance requirements, and payroll audits.
  • Experience administering 401(k), HSA, garnishments, and other employee payroll deductions.
  • Proficiency in Microsoft Excel and payroll reporting/reconciliations.
  • Strong attention to detail, organizational skills, and ability to maintain confidentiality.
  • Ability to manage multiple priorities and meet critical payroll deadlines.
  • Experience partnering with HR, Finance, and external vendors to support payroll and benefits administration.
  • Experience with year-end payroll processing, W-2 preparation, and process improvements.

Responsibilities

  • Process weekly and bi-weekly payroll accurately and timely in accordance with company policies and payroll schedules.
  • Maintain employee payroll records and ensure data accuracy within ADP.
  • Review, audit, and reconcile payroll transactions, earnings, deductions, taxes, and benefits.
  • Administer payroll-related programs, including 401(k), HSA, garnishments, direct deposits, and other employee deductions.
  • Coordinate payroll deductions and funding with benefit and retirement plan vendors.
  • Respond to employee payroll inquiries and resolve payroll-related issues in a timely and professional manner.
  • Support payroll tax reporting and ensure compliance with federal, state, and local payroll regulations.
  • Prepare payroll reports, reconciliations, and documentation for Finance, Human Resources, audits, and regulatory requirements.
  • Monitor payroll processes and identify opportunities to improve accuracy, efficiency, and internal controls.
  • Assist with ADP administration, system maintenance, testing, and implementation of system updates.
  • Maintain confidential employee payroll and compensation information with the highest level of discretion.
  • Develop and maintain payroll procedures, process documentation, and training materials.
  • Partner with Human Resources, Finance, and external vendors to ensure accurate payroll and benefits administration.
  • Serve as a backup resource for critical payroll functions to ensure business continuity during absences, transitions, or staffing changes.
  • Support year-end payroll activities, including W-2 processing, audits, and compliance reporting.
