About The Position

The Senior Operations Manager provides strategic and hands-on leadership to the organization’s Operations Department, overseeing administrative and technical functions that ensure efficient, compliant, and high-performing internal systems. This role manages multiple operational teams including Facilities, IT, Data, and Administrative Services to ensure seamless coordination and alignment with organizational goals. The Senior Operations Manager is responsible for building operational infrastructure, driving process improvement initiatives, managing compliance with regulatory and organizational standards, and fostering cross-departmental collaboration. This position requires an experienced leader skilled in managing diverse teams, optimizing systems and workflows, and ensuring operational excellence across the organization.

Requirements

  • Bachelor's degree in Business Administration, Psychology, Organizational Development, Organizational Behavior Management, Instructional Design, Learning and Development, or another related field.
  • Minimum 3 years of experience in operations management with progressively increasing responsibilities
  • Minimum 3 years of experience supervising multiple teams or departments.
  • Demonstrated experience leading large-scale process improvement or systems implementation projects.
  • Strong project management and organizational skills, with the ability to manage competing priorities.
  • Experience in system and process mapping, workflow design, and performance measurement.
  • Knowledge of compliance frameworks relevant to nonprofit, healthcare, or social service organizations (e.g., HIPAA, OSHA, data security).
  • Proven ability to manage budgets, resources, and complex operational logistics.
  • Excellent communication, problem-solving, and interpersonal skills.
  • Pass agency paid criminal justice screening fingerprints.
  • Pass agency paid TB (Tuberculosis) screening.
  • Pass agency health screening or drug testing, if required.
  • Possession of a valid California Driver’s License and proof of valid auto insurance coverage.
  • Pass agency paid MVR clearance with no more than 2 points – if you are under the age of 25 our insurance company will not allow any points.

Nice To Haves

  • Certification in project management (e.g., PMP).
  • Experience in a healthcare or related industry with a strong understanding of compliance requirements.
  • Familiarity with systems management, data governance, and organizational administration.

Responsibilities

  • Provide direct supervision and support to multiple operational teams, including Administrative, Technical (IT/Data), and Facilities functions.
  • Establish clear goals, roles, and performance expectations for each team and ensure alignment with organizational objectives.
  • Conduct job task analyses and key informant interviews to understand and document the requirements and responsibilities of various roles.
  • Create and manage comprehensive documentation for processes, procedures, and compliance requirements to ensure consistency and accessibility across departments.
  • Develop and implement system and process maps to optimize organizational operations, streamline workflows, and promote cross-departmental efficiency.
  • Perform time studies and workflow evaluations to assess efficiency and identify opportunities for improvement across multiple operational areas.
  • Lead cross-functional projects from planning through execution and evaluation.
  • Develop project charters, timelines, and deliverables, ensuring milestones are met within scope and budget.
  • Facilitate the adoption of new tools, systems, and processes across the organization.
  • Ensure adherence to federal, state, and local regulations as well as internal policies and procedures.
  • Partner with leadership to maintain operational readiness for audits and certifications.
  • Oversee operational training and onboarding processes in collaboration with Human Resources.
  • Build the capacity of teams through professional development, mentorship, and performance coaching.
  • Take on administrative responsibilities on behalf of the organization, such as managing cross-departmental systems, supporting executive initiatives, and ensuring consistent operational standards across all programs and departments.
  • Develop, maintain, and present operational reports to senior leadership.
  • Establish and maintain tracking systems to monitor performance indicators and guide organizational strategies.
  • Foster a culture of innovation, problem-solving, and accountability throughout the Operations Department and the broader organization.
