About The Position

The Senior Office Administrator is a key contributor to the effective day‑to‑day running of the office and broader business operations. The role provides high‑quality administrative, clerical, and coordination support across finance, operations, logistics, and customer interactions. Acting as the central point of contact within a team of two Administrators, the Senior Office Administrator provides support to internal teams, customers, suppliers, and visitors. The role ensures a professional, well organized, and responsive office environment that enables effective business operations and positive stakeholder experience.

Requirements

  • 5+ years of experience as an Administrator, Assistant or similar role.

Responsibilities

  • Ensure the smooth and efficient day‑to‑day operation of the office environment.
  • Act as a primary point of contact for incoming enquiries, visitors, and calls, ensuring a professional and responsive experience.
  • Manage office supplies, equipment, and services, maintaining appropriate stock levels and cost awareness.
  • Maintain accurate and well organised physical and digital filing systems in line with company standards and compliance requirements.
  • Support office facilities, contractors, and service providers as required.
  • Process purchase requests and purchase orders, ensuring appropriate approvals and accurate documentation.
  • Liaise with suppliers to support timely purchasing outcomes and resolve routine supply issues.
  • Coordinate freight, delivery, and collection of goods with logistics providers.
  • Maintain accurate purchasing and logistics records to support tracking, reconciliation, and reporting.
  • Respond to customer enquiries promptly and professionally, ensuring issues are resolved or escalated appropriately.
  • Process customer purchase orders and sales transactions accurately, including invoicing where required.
  • Track and follow up warranty credits and shipping commission credits to ensure timely resolution and accurate records.
  • Support positive customer experiences through clear communication and reliable administrative follow‑through.
  • Provide administrative support for Accounts Receivable activities, including proactive follow‑up of outstanding customer payments to support cashflow.
  • Monitor and verify daily incoming deposits, identifying and escalating discrepancies as required.
  • Assist with the preparation, submission, and reconciliation of monthly credit card expense reports, particularly for supply‑related purchases.
  • Ensure financial administration is completed accurately, on time, and in line with internal controls.
  • Build effective working relationships with the other Office Administrator and with Finance, HR, and wider business teams.
  • Develop and maintain working knowledge across key administration responsibilities to provide effective cover during absences.
  • Contribute to team and departmental objectives, supporting continuous improvement of administrative processes.
  • Undertake additional administrative tasks as required to support business priorities
