Requirements

  • HSD
  • Three years of medical clerical experience
  • Prior physician practice experience (preferably in an orthopedic or sports medicine setting)
  • Knowledge of medical terminology
  • Knowledge of word processing, database, and spreadsheets
  • Excellent organizational skills

  • Ability to effectively communicate with all levels of the organization

Responsibilities

  • Provides reception assistance, including greeting patients, answering calls, and directing requests.
  • Screens telephone callers professionally and handles calls, takes messages, or directs callers appropriately.
  • Schedules routine appointments and follow-ups for visits and procedures that do not require pre-authorization or have already been pre-authorized.
  • Prepares the daily schedule.
  • Responsible for patient check-in and check-out.
  • Gathers all patient demographic data and materials from patients or their representatives.
  • Obtains insurance information, verifies eligibility electronically, takes pictures, and instructs patients to use Patient Secure.
  • On subsequent visits, verifies demographic information and makes necessary edits.
  • Collects and ensures patients sign relevant documents (HIPAA, MSPQ, ABN, etc.).
  • Follows up with patients, physician offices, etc., to gather missing data for intake completion or refers to senior staff.
  • Scans necessary documents (insurance cards, lab requisitions, etc.) into the intake system.
  • Monitors the intake work queue for timely completion.
  • Refers patients with insurance coverage questions or financial concerns to the Business Office Associate based on established criteria.
  • Maintains cooperative and professional relationships with physicians, nurses, and office/clinical staff.
  • Types routine material such as forms, letters, and envelopes accurately and neatly.
  • Writes materials clearly and legibly.
  • Answers patient questions to ensure understanding and satisfaction, or refers them to senior staff.
  • Maintains confidentiality of privileged information.
  • Maintains and receives organized and up-to-date files for the area, completing filing according to departmental procedures.
  • Sorts and distributes documents and forms for the area section according to content and departmental procedures.
  • Logs in materials with respect to time and date when applicable.
  • Processes incoming and outgoing documents, securing appropriate signatures and forwarding them to the correct destination.
  • Maintains copies for files.
  • Faxes documents in accordance with departmental procedures.
  • Maintains supplies and cleanliness of the workspace, restocking as needed, and notifying the supervisor of shortages.
  • Prepares simple, routine memoranda, letters, labels, correspondence, and other documents as needed.
  • Reviews work for accuracy and completeness.
  • May maintain a routine calendar and assist in basic conference preparation.
  • Maintains workload statistics and other data for departmental records, recording statistics at designated intervals.
  • Follows instructions from the supervisor and prepares information neatly.
  • Primarily responsible for taking patient phone calls and scheduling over the phone.
  • Schedules appointments for visits, procedures, and follow-ups.
  • Collects patient demographic data, electronically verifies insurance eligibility, coordinates pre-authorizations, takes medical history, and assigns appointments based on physician, procedure, and insurance coverage.
  • Post-appointment, coordinates inter-departmental scheduling for specialist visits, scans, and procedures in accordance with insurance coverage and physician directives.
  • Collaborates with other Medical Center areas and insurance providers to obtain pre-authorizations/certifications for treatments and diagnostic procedures, ensuring patient eligibility.
  • Responsible for Pre-Authorizations and Certifications of surgical procedures.
  • Ensures appropriate procedure and diagnosis coding is used in pre-certification and verification, questioning physicians for accuracy and completeness.
  • Responsible for scheduling appointments for surgery and infusion procedures.
  • May delegate and oversee the work of less senior staff.
  • Reviews the work of less senior staff.
  • Assists with the completion of special projects, reports, and activities, ensuring accuracy and completeness of information.
  • Brings problems or questions to the supervisor's attention.
  • Submits data to the supervisor neatly and well-written.
  • Maintains physician patient schedules, patient procedure schedules, appointment calendars, and Operating Room Schedules.
  • Performs other related duties as needed by providers and supervisors.
