About The Position

The ASPCA is seeking a talented, highly organized, and motivated individual to provide top-notch administrative and logistical management for seventeen veterinary professional training programs across the organization. The Veterinary Training Initiative (VTI) includes externships in multiple disciplines and locations for third- and fourth-year veterinary students, second-year veterinary technician students, and post-doctoral internship, fellowship, and residency programs. The Sr. Manager plays a critical role in promoting and implementing streamlined and efficient communication among and between programs, veterinary schools, and students before, during, and after each program to ensure each student is supported throughout their time with the ASPCA. The Sr. Manager works closely with each program to understand content and the student selection process, enabling consistent communication with veterinary students, veterinary schools, and internal program subject-matter experts. The Sr. Manager plays an essential role in identifying and managing projects in support of individual programs and/or larger initiatives. The Sr. Manager must be extremely organized, flexible, proactive, warm, resourceful, and efficient with excellent communication skills and sound judgment. This individual serves as ambassador and primary point of contact for veterinary schools and trainees, streamlining and centralizing administration, communications, and data tracking, and ensuring that the ASPCA continues to be a leader in training veterinary professionals.

Requirements

  • Ability to build, maintain and strengthen relationships across internal teams and with external partners (veterinary colleges and technician programs, veterinarians, professional students, etc.); previous campus engagement experience preferred
  • Passionate about promoting learning and educational connections
  • Strong working knowledge in Microsoft Office applications (Excel, Outlook, Word, and PowerPoint) and comfort learning new technologies required
  • Prior success executing complex projects on time with high quality outcomes
  • Strong organizational, communication, and client service skills that reflect a commitment to direct, service-oriented interactions
  • Ability to work effectively in a home office with frequent virtual meetings and points of communication across teams
  • Proactive in nature with the ability to anticipate needs and connect programs
  • Demonstrates sound judgment, diplomacy, patience, persistence and the ability to work under strict deadlines
  • Solutions-focused problem-solver excited to drive progress with input from multiple colleagues
  • Proximity to NYC with reasonable commuting distance to ASPCA training locations preferred

  • Bachelor's degree or equivalent work experience required
  • Minimum 5 years experience planning and implementing conferences or other educational events required
  • Minimum 3 years experience providing client service and administrative support required; experience in an educational or veterinary setting preferred
  • Minimum 2 years experience managing projects required

  • Experience in administration of learning management software (LMS) e.g online course template design, adding content to instructional platforms, monitoring participant attendance and completion, etc.) preferred

Responsibilities

  • Provide warm, welcoming, supportive, and timely communication with students and veterinary professionals; serve as initial point of contact to provide a seamless response and follow-through on requests.
  • Manage day-to-day administrative tasks and provide project management support, including but not limited to taking and organizing meeting notes and action items, managing travel reimbursements and stipends, and leading the administrative aspects of coordinating ASPCA training programs.
  • Work closely with the VP to develop and maintain relationships with veterinary and veterinary technician schools to ensure working relationships with student services offices, student clubs, and other educational stakeholders.
  • Work closely with the VP to collaborate with ASPCA departments such as Campus Relations, Veterinary Scholarship, Communications, and Learning and Development to align efforts with broader organizational goals and ensure that the initiatives and operations of educational programs co-exist and communicate seamlessly with stakeholders across the organization.
  • Support program scheduling, answer inquiries throughout the year via phone and email.
  • Build and maintain a network of contacts to aid in program development and strengthen program alumni connections.
  • Collaborate with Communications to create and update content for the Veterinary Internship and Residency Matching Program (VIRMP), the ASPCA website, and other applicant-facing resources.
  • Assist with recruitment, scheduling, and reimbursements for Practitioner Pathway participants.
  • Manage ad hoc lecture requests and communications from faculty and students through a shared database (Uni-fy) and ensure content delivery and follow-up with ASPCA subject matter experts.
  • Work with the ASPCA Program and Learning Impact Measurement (PLIM) team to assess training program effectiveness, identify trends, and inform future strategies.
  • Collaborate with Legal and program teams to ensure all student paperwork, permissions, and appropriate licensure is completed prior to the start of each trainee’s programs.
  • Provide coordination and alignment between ASPCA training programs, including compliance with all state and college requirements and administration of student reviews.
  • Institute process improvements to simplify and streamline workflows where appropriate.
  • Work across departments and with external partners to plan, organize, and facilitate conferences and other education events, including the annual Shelter Medicine Conference, the ASPCA’s weekend course in Community Centered Medicine, and ad hoc external speaking events at veterinary colleges and technician training programs, ensuring delivery and follow up.
  • Collaborate with the VP and other subject matter experts in the creation of virtual learning material in a learning management system (LMS).
  • Track and manage conference or other event budgets.
  • Aid in the scheduling of rounds, journal clubs, and other training events for ASPCA clinical training programs.
