The Senior Manager, Congress Strategy & Operations will report to the Director, Strategic Marketing & Operations, leading the successful end-to-end planning, management, coordination, and execution of Global and US Oncology and Hematology congresses. This role is responsible for delivering exceptional congress experiences for internal stakeholders and external customers while ensuring alignment with business objectives, compliance standards, and budget expectations. This individual will be a highly motivated, collaborative and innovative self-starter who thrives in a fast-paced environment, builds strong cross-functional relationships, and brings a winning mindset to every initiative. The ideal candidate will possess outstanding communication and project management skills, along with strong operations and logistics management capabilities, advanced financial planning and budget management acumen, proven vendor management experience, and successful track record in planning and executing Global and US congresses within the pharmaceutical industry. While the role is primarily focused on day-to-day congress strategy and operations, the ideal candidate will also contribute insights and recommendations to improve efficiency, strengthen processes, deliver innovation and enhance the overall customer experience.

Requirements

  • Bachelor’s degree required.
  • Minimum of 5 years’ experience in congress planning, strategy, and operational logistics within the pharmaceutical industry.
  • Strong project management and strategic operations experience required.
  • Robust financial planning, budget management, and long‑range fiscal forecasting experience necessary.
  • General understanding of the healthcare/pharmaceutical landscape, including legal, regulatory, and compliance considerations that impact event delivery; familiarity with PhRMA guidelines and the Sunshine Act.
  • Demonstrated ability to manage challenging situations and lead positive change.
  • Proven ability to collaborate effectively and move initiatives from concept through execution.
  • Ability to work independently and within cross‑functional teams.
  • Exceptional organizational, planning, and prioritization skills.
  • Excellent verbal and written communication skills, with the ability to engage professionally across all levels and with external partners.
  • Strong problem‑solving skills and a results‑focused mindset with accountability and follow‑through.
  • Ability to negotiate and influence vendors, agencies, and associations.

Nice To Haves

  • Previous oncology/hematology experience is preferred.
  • Familiarity with Veeva systems and medical/legal/regulatory (MLR) review processes preferred.

Responsibilities

  • Orchestrate the full congress planning lifecycle: Plan, coordinate, manage, and deliver events end-to-end —before, during, and after execution—on time, within budget, and to the highest standards; managing multiple conferences simultaneously
  • Lead the planning and execution of commercial US and Global congress activities for Genmab Brand Marketing teams and Global Medical Affairs (GMA), partnering closely with cross‑functional stakeholders to define congress requirements, develop tactical and logistical plans, manage exhibit booth design, coordinate planning and pre‑con meetings, oversee hotel logistics and ancillary events
  • Lead development of end-to-end congress project and milestones plans to ensure deliverables and deadlines are clearly outlined for engagement with cross-functional partners
  • Engage cross functionally with business leaders to shape event strategies that reflect enterprise priorities, leveraging therapeutic area expertise to provide high impact, actionable congress planning guidance.
  • Build and manage strong relationships with multiple partnering vendors to ensure seamless collaboration on booth design, objectives, budgets, hotel logistics and attendee engagement strategies.
  • Close partnership with finance on: financial tracking and reconciliation, monitoring deposits, ensuring invoice accuracy, managing post-event reconciliation and chargebacks, creation of PO’s, accounts payable collaboration for invoice processing and status updates, year‑end accruals.
  • Budget ownership and accountability for annual congress brand planning, long‑range forecasting, and quarterly budget reconciliation, ensuring budgets stay on track without over‑ or underspend.
  • Negotiate contracts with associations and vendor partners to secure favorable business outcomes.
  • Ensure all programs comply with Genmab policies and procedures through collaboration with regulatory, legal, and compliance teams.
  • Management of Veeva congress booth submissions partnership with medical/legal/regulatory (MLR) reviewers.
  • Maintain a high level of professionalism and foster positive working relationships while managing condensed timelines and multiple priorities.
  • Domestic and international travel up to 15-20% to select congresses as needed, including occasional weekend and evening hours.
