About The Position

Join our Corporate Services division as we embark on a continuous improvement and digital transformation journey. The ambition of Corporate Services is to be the trusted proactive partner providing data-driven corporate services for the business, while upholding the highest fiduciary standards. The Corporate Services division encompass the following departments: Corporate Finance, Treasury and Tax, FP&A, Regional Finance across 5 regional offices, Internal audit, Corporate Risk and Compliance, Corporate Administration and Procurement. Reporting to the Director, Corporate Administration and Procurement, this role is responsible for ensuring the efficient day‑to‑day operation, safety, and maintenance of IATA’s Montreal headquarters. This role leads office administration activities, manages service delivery, and works closely with internal and external stakeholders to support a functional, secure, and well‑maintained workplace.

Requirements

  • At least 7 years’ experience in office administration or facilities‑related roles within an international environment.
  • A minimum of 5 years’ experience in people management.
  • Demonstrated experience in stakeholder management, customer service, and third‑party/vendor management.
  • Strong analytical skills, with the ability to work with data and produce actionable insights to support decision‑making.
  • Intellectual curiosity, sound judgment, and comfort working in environments with a degree of ambiguity.
  • Fluency in English and French.

Responsibilities

  • Oversee all office administration and premises‑related activities in the Montreal office, ensuring facilities are well maintained and operations run smoothly.
  • Lead and manage the local administration team, covering reception, conference centre operations, office moves, technical engineering, and related services.
  • Develop and implement fit‑for‑purpose office capacity and maintenance strategies that support a safe, secure, and healthy working environment.
  • Build and maintain effective working relationships with the landlord, senior internal stakeholders, and third‑party service providers to ensure cost‑effective and high‑quality service delivery.
  • Liaise with local authorities and relevant internal functions (PPD, I&D, CAP HSS) to ensure compliance with safety and security requirements, and to support the prevention and management of major incidents.
  • Collaborate proactively with IATA divisional representatives and external partners to address workplace and customer service feedback in a timely and constructive way.
