About The Position

Donato Brown Pool & Moehlmann is a Texas-based insurance defense firm providing high-quality, efficient legal services to business and professional clients. We operate in a fast-paced litigation environment and are seeking experienced professionals who can contribute immediately at a high level. We are seeking a Senior Litigation Legal Secretary with significant experience in Texas insurance defense litigation. This individual will support multiple attorneys in a high-volume practice and must be capable of managing a busy docket with minimal supervision. This is not an entry-level role. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced litigation environment.

Requirements

  • Minimum 5+ years of litigation legal secretary experience in Texas
  • Insurance defense experience strongly preferred
  • Experience supporting multiple attorneys (3+ minimum)
  • Proven ability to manage a high-volume docket independently
  • Strong knowledge of Texas state and federal e-filing systems
  • Proficiency in calendaring deadlines and procedural rules
  • Experience with trial preparation
  • Strong document production and proofreading skills

Nice To Haves

  • Experience working with insurance carriers and billing guidelines (UTBMS/LEDES)
  • Familiarity with case management systems (e.g., Needles, ProLaw, Clio)
  • Experience coordinating experts, depositions, and complex scheduling
  • Prior trial “war room” support experience
  • Experience with billing and time entry

Responsibilities

  • Manage and maintain high-volume litigation dockets for multiple attorneys
  • Prepare, revise, and finalize pleadings, discovery, motions, and correspondence
  • E-file documents in Texas state and federal courts
  • Maintain and track deadlines in accordance with Texas Rules of Civil Procedure and local rules
  • Coordinate depositions, mediations, hearings, and trial settings
  • Assist with trial preparation, including exhibits, binders, and logistics
  • Handle attorney calendaring, scheduling, and travel coordination
  • Enter attorney time and assist with billing in compliance with client guidelines
  • Communicate professionally with clients, opposing counsel, court personnel, and vendors
  • Maintain organized electronic and physical case files
  • Anticipate attorney needs and proactively manage workflow
