About The Position

Fish & Richardson, a premier global intellectual property law firm, is seeking a Senior Litigation Docketing Specialist to join their Litigation Practice Systems Department. This role is part of The Hub, Fish’s remote-first group of professionals, meaning employees work primarily from home with no expectation of a regular in-office presence. The specialist will be responsible for independently reviewing legal documents and correspondence to accurately calculate, record, and disseminate docket dates, ensuring all deadlines for firm litigation matters are entered into the firm’s docketing platform, Milana. The role involves providing proactive support to litigation teams, coordinating with docketing attorneys, performing quality reviews of their own work and that of other Docketing Specialists, and assisting with inter-department training, particularly on court rules research and interpretation. The specialist will also respond to inquiries regarding docketed events and deadlines, prepare and distribute docket reports, and assist with research on court rules. A key aspect of the role is to maintain and improve processes and procedures to enhance efficiency and minimize risk, providing suggestions for improvement to the Litigation Docketing Manager. The position requires promoting the firm’s docketing policies and procedures and ensuring compliance with department standards.

Requirements

  • 5+ years’ docketing experience computing deadlines in federal, state, and agency court jurisdictions.
  • Experience with rules-based docketing systems.
  • Thorough knowledge of litigation docketing processes in a law firm.
  • Familiarity with federal and state court procedural rules.
  • Demonstrated knowledge of the litigation lifecycle.
  • Must be reliable and detail-oriented.
  • Strong analytical, organizational, communication, time management, and technical skills.
  • Must be highly motivated and proactive with strong attention to detail.
  • Must be able to exercise independent and professional judgment.
  • Must have excellent customer service, a good attitude, and the ability to multi-task.
  • Ability to work under pressure to meet strict deadlines.
  • Ability to identify issues, “own the problem,” draw valid conclusions and present same in a clear and concise manner, and work to develop and implement solutions.
  • Ability to work well within a team-oriented environment and contribute to effective team relationships.
  • Ability to work 8:30-5:30 pacific time regardless of work location.

Responsibilities

  • Independently review legal documents and litigation correspondence to accurately calculate, record, and disseminate docket dates pursuant to applicable court rules and procedures.
  • Analyze source documents, review court dockets, verify jurisdiction, court/venue, and relevant authorities, and adjust calculated dates for federal, state, statutory, or agency rules, as well as local rules and practices.
  • Accurately enter all deadlines for firm litigation matters into Milana, the firm’s litigation docketing platform.
  • Provide proactive support to litigation teams and coordinate with docketing attorneys to ensure all deadlines are docketed correctly.
  • Perform quality review of own work product according to internal department protocols and escalate questions to the Litigation Docketing Manager and docketing attorneys.
  • Assist with inter-department training, focusing on court rules research and interpretation.
  • Quality review Docketing Specialists' work product.
  • Respond to inquiries from litigation teams regarding docketed events, deadlines, and court rules.
  • Prepare and distribute regular docket reports to case teams and prepare additional reports upon request.
  • Assist with research regarding court rules for assigned jurisdictions and present findings to case teams.
  • Maintain and strive to improve processes and procedures to enhance efficiency and minimize risk.
  • Provide suggestions to the Litigation Docketing Manager to assist with improving docketing procedures and workflow.
  • Promote the firm’s docketing policies and procedures through all communications with litigation teams and ensure compliance with all department docketing procedures, best practices, and workflows.
