Babylist•New York City, NY
•Hybrid

About The Position

Babylist is hiring a Senior Experiential Producer for a six-month engagement to lead the strategy, creative direction, and production of events in its NYC Soho showroom. The producer owns each event end to end, from developing the concept and creative materials through vendor management, budgeting, show-running, and post-event recap. Several events will be in progress at overlapping stages at any given time. The event slate includes partner venue rentals, Babylist-produced partner activations, social impact programming, and two-day Registry Weekend consumer events. Registry Weekend welcomes approximately 2,000 people and includes roughly 8–10 brand partners, educational programming, product demonstrations, gifting, food and beverage, and immersive guest experiences. Other events may include branded storytelling, product education, curated guest experiences, décor, food and beverage, gifting, and influencer programming. This is a hybrid role based in NYC, with required presence at the NYC showroom at least three days per week and occasional weekend work. Event-day hours may extend from load-in as early as 7 a.m. through breakdown as late as 9 p.m.; these extended hours are specific to event days. The hourly rate is $76.92.

Requirements

  • Experience leading event strategy, concept development, and production from start to finish, including originating the concept rather than only executing someone else's.
  • Strong familiarity with brand activations and experiential events, including current trends and the ability to bring concepts to life with strong taste.
  • Ability to create mood boards and complete concept decks from scratch.
  • Track record producing design-driven brand experiences and pop-ups, including décor, vendor negotiation, and custom fabrication.
  • Ability to produce both large- and small-scale events, including events of 500 or more people and small influencer gatherings.
  • Ability to manage several events at overlapping planning, production, and recap stages.
  • Experience building and managing vendor budgets, including catering, rentals, florals, fabrication, AV, and photography, while keeping production on time and on budget.
  • Comfort using AI in daily work and curiosity about emerging AI capabilities.
  • Ability to be present at the NYC showroom at least three days per week and work occasional weekends.

Responsibilities

  • Set the strategy and concept for individual events, including mood boards, decks, layouts, décor, and spatial planning, and produce events from concept through strike.
  • Produce Babylist's Registry Weekend events in New York and lead partner-sponsored showroom experiences of varying sizes.
  • Translate concepts and approved briefs into production plans, timelines, and workbacks.
  • Lead planning meetings to keep internal teams and vendors aligned.
  • Source and manage production vendors, including rentals, florals, fabrication, AV, photography, signage, and catering.
  • Oversee event logistics from delivery through installation and breakdown.
  • Run onsite load-in, show, and strike; own the run of show and troubleshoot in real time.
  • Complete post-event production wrap-up, document learnings, and contribute to Babylist's internal recap process and future event planning.
  • Maintain a rolling event calendar and advance planning for upcoming events while producing current events.
  • For partner-rented venue events, serve as the primary venue point of contact, lead walkthroughs, share the approved vendor list, and coordinate logistics for outside production teams.
