About The Position

The Senior Executive Assistant provides high-level administrative and operational support to the CFO, CPO, and CG&SO at a rapidly growing, PE-backed physical therapy organization. This role is integral to driving executive effectiveness and organizational efficiency across a dynamic, multi-site platform. The ideal candidate is a proactive, discreet, and exceptionally organized professional who thrives in a fast-paced, results-driven environment and can anticipate executive needs before they arise.

Requirements

  • Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (Teams, Zoom)
  • Proven ability to handle sensitive and confidential information with the utmost discretion and professionalism
  • Strong organizational skills with the ability to manage multiple competing priorities under tight deadlines
  • Outstanding written and verbal communication skills
  • 5+ years of progressive executive assistant experience, with at least 5 years supporting C-Suite executives
  • Experience in a PE-backed, high-growth company or multi-site healthcare/services organization strongly preferred
  • Bachelor's degree or equivalent combination of education and relevant professional experience

Nice To Haves

  • Experience with UKG (HR/workforce management) and Certify (expense management) preferred; ability to quickly learn and adopt new platforms
  • Experience supporting executive teams through M&A activity, integration, or rapid organizational growth
  • Familiarity with healthcare operations, physical therapy, or multi-location service businesses
  • Experience with project management tools and HRIS or ERP systems
  • Notary Public certification or willingness to obtain

Responsibilities

  • Manage complex, multi-time zone calendars for the CFO, CPO, and CG&SO, including scheduling, prioritization, and proactive conflict resolution
  • Coordinate and prepare executives for internal and external meetings, including agendas, pre-read materials, presentations, and follow-up action items
  • Coordinate all domestic travel arrangements, including flights, ground transportation, accommodations, and detailed itineraries
  • Screen and manage high-volume executive correspondence (email, calls, meeting requests) with professionalism and sound judgment
  • Serve as a trusted gatekeeper and primary point of contact between the C-Suite and internal/external stakeholders
  • Support investor relations activities including coordinating board meetings, preparing board materials, and managing follow-up communications with PE sponsors
  • Assist with due diligence coordination, M&A-related logistics, and integration activities as needed
  • Maintain confidential executive files, contracts, and corporate records with a high degree of accuracy and discretion
  • Track and manage executive expense reports
  • Lead or assist with special projects and cross-functional initiatives as directed by the C-Suite
  • Draft, edit, and proofread executive communications, including internal announcements and external correspondence
  • Build and maintain positive relationships with clinic operators, regional leaders, board members, and PE firm representatives
  • Represent the executive team professionally in all interactions with internal teams, external partners, and vendors
  • Oversee office management functions at the corporate headquarters, including vendor relationships, facilities coordination, and supply management
  • Onboard and mentor junior administrative staff as the organization scales
  • Identify and implement process improvements to increase executive efficiency and team productivity
