Requirements

  • At least 5 years of experience supporting C-level executives at either high-growth startups, top-tier professional services firms, or similarly high-velocity environments. We are not tied to specific years, but rather the quality of the experiences and the outcomes.
  • Track record of supporting a CEO or COO at a company scaling through growth stages, with direct exposure to board, investor, and exec-level work
  • Demonstrated ability to manage complex calendars across multiple high-velocity principals at once
  • Experience managing other Executive Assistants or administrative staff, including remote and offshore team members
  • Comfort with discretion at the board, investor, and executive level
  • Strong written communication, comfortable drafting on behalf of executives in board, investor, and partner contexts
  • Bias toward action. You decide and brief, rather than ask and wait
  • Ability to context-switch without dropping threads. You can hold a partner call, a board prep, an interview, and a vendor escalation in the same hour
  • Track record of catching problems before your executive saw them, and of building systems that outlasted you at prior companies
  • Comfort pushing back on executives when you disagree. You optimize for being right over being liked
  • AI skills. You have been experimenting with AI tools and understand how to leverage them to make yourself and your team meaningfully more efficient
  • Hands-on, high-ownership mindset. Willing to get in the weeds, move fast, and handle the realities of an early-stage startup.
  • Full commitment required. This role is full-time and your top priority, with the expectation of growing alongside the company over the next 2+ years

Responsibilities

  • Own the calendars of the CEO and COO as strategic assets. Make accept, decline, defer, and delegate decisions independently. Protect deep work blocks aggressively. Resolve conflicts without escalating most of them. Anticipate two to four weeks out, not two days out.
  • Run the executive inbox. Triage inbound, draft and send communications on behalf of the principals, and ensure nothing rots in the queue.
  • Own the operating cadence. Drive prep, agendas, and follow-through for executive meetings, board meetings, offsites, investor sessions, and key external engagements.
  • Manage the admin team. Lead our onshore and offshore Executive Assistants and Office Manager. Set the standard, run the cadence, and ensure high performance.
  • Build the backbone. Own contract organization, vendor management, and the administrative systems that keep a fast-growing company running at scale. Build infrastructure that outlasts you.
