About The Position

Muon seeks a Senior Executive Assistant to join our team. The ideal candidate is responsible for complex calendar management and scheduling of internal and external meetings across multiple time zones, handling expenses, multitasking across a number of ad hoc projects, preparing documentations for meetings, assisting with presentations and a variety of other day-to-day administrative tasks. The strongest candidates will have experience working in start-up companies and interfacing with investors and board members. This is an exciting role requiring superior attention to detail, great organization and prioritization skills and the ability to plan ahead and to meet tight deadlines, all while juggling multiple critical requests. This role will support our CEO and President, as well as other members of the Executive Leadership team from time to time, with deliverables required for internal leadership, board of directors, and investors. The Senior Executive Assistant role will have a significant impact by enabling their principals to focus on strategic work through the efficient management of complex administrative operations, coordination of key stakeholder communications with the Board and investors, and maintaining confidentiality and integrity in a fast-paced environment.

Requirements

  • 8+ years of Executive Assistant experience, including 5+ years directly supporting a CEO within a fast-paced, start-up environment
  • Professional experience and strong computer literacy, including expertise in Google Workspace, Slack, and PCs.
  • Superior organizational skills including excellent written and verbal communication.
  • Ability to proactively develop project scope, manage schedules, and follow up with stakeholders appropriately.
  • Initiative in resolving problems and an independent worker, with enthusiasm and an energetic approach to work.
  • Ability to navigate and flourish in a fast-paced, start-up environment.
  • Proven experience managing multiple projects simultaneously and autonomously.
  • Willingness to commute to our Mountain View and San Jose offices at least 3 times per week, and up to 5 days if needed due to business needs.

Responsibilities

  • Coordinate meetings, manage schedules, make appointments, arrange travel, and provide other general assistance as required.
  • Exhibit a strong attention to detail, ability to adapt to daily schedules and routines, and a focus on efficiency without sacrificing quality.
  • Plan travel itineraries and make travel arrangements.
  • Assist in organizing and execution of meetings, conference attendance, and off-site events.
  • Reconcile and prepare expense reports.
  • Document and distribute meeting minutes and action items as needed.
  • Perform potentially confidential and complex administrative duties with a high level of integrity and discretion.
  • Collaborate positively and proactively across teams.
