About The Position

As a Senior Executive Assistant on our Corporate Functions team, you will become the heart of our organization by developing strategies, refining processes, and implementing initiatives that empower our business to thrive. This role supports the Americas President and leadership team, as well as the Chief of Staff to the Americas President and their team. You will coordinate and manage calendars, meetings, and logistics, assist with travel coordination, and support the preparation of meeting materials. Additionally, you will help manage expense reports and invoices. On the Regional Coordination & Engagement side, you will support the Chief of Staff's team with operational needs, coordinate social and cultural activities, manage logistics for visiting senior executives, organize "coffee chat" connections, and support the execution of regional events, meetings, and offsites.

Requirements

  • 3-5 years of administrative or coordination experience in a fast-paced, global or corporate environment
  • Strong organizational and time-management skills, with ability to manage multiple priorities concurrently
  • Excellent communication skills (written and verbal) and professional presence
  • Proficiency in Microsoft Office (especially Outlook calendaring)
  • Ability to work with discretion and handle confidential information appropriately
  • Collaborative mindset and ability to work across teams and cultures
  • Experience supporting senior leaders or executives
  • Experience coordinating events, communications, or employee engagement activities
  • Familiarity with travel coordination and expense tools (e.g., Concur or equivalent)
  • Experience in a global or matrixed organization
  • Proactive and service-oriented; anticipates needs and follows through reliably
  • Detail-oriented with strong execution discipline
  • Comfortable operating in a dynamic, fast-paced environment with shifting priorities
  • Strong interpersonal skills and ability to build relationships across levels and geographies
  • High level of professionalism, judgment, and discretion

Responsibilities

  • Coordinate and manage calendars, meetings, and logistics for senior executives, including complex scheduling across time zones
  • Assist with travel coordination and itineraries, including preparation for international visitors
  • Support preparation of meeting materials, agendas, and follow-ups (including tracking action items where needed)
  • Help manage expense reports, invoices, and administrative processes in coordination with internal systems
  • Provide general administrative support including document preparation and coordination with internal stakeholders
  • Support the Chief of Staff to the Americas President and the Chief of Staff's team of project and program managers with coordination, scheduling, and operational needs
  • Coordinate social and cultural activities across all Americas sites to strengthen engagement and community
  • Manage logistics for visiting senior executives, including scheduling, agendas, and on-site coordination
  • Organize and manage “coffee chat” connections between executives and employees, including scheduling, participant coordination, and communication
  • Support execution of regional events, meetings, and offsites, working with vendors or internal teams as needed
