The Managing Director & WBG CFO leads the Group's financial strategy, risk management, and related organizational transformation, driving efficiency, innovation, and development impact across all WBG entities. The CFO oversees the Group Controller, Group Treasury, Group Credit and Market Risk, and Group Corporate Finance functions, and chairs the Pension Finance Committee, Group Finance and Risk Committee, and Group Asset and Liability Committee (ALCO). The Office of the Managing Director and WBG CFO (MDCFO) is a small, high performing team supporting the MDCFO across the full breadth of her responsibilities. This includes engagement with WBG leadership, the Board, the President, external stakeholders, and development partners. The Senior Executive Assistant will play a key role in supporting the work of the MD and Finance Partners. We are seeking a highly talented and motivated individual for the position of Senior Executive Assistant. Reporting to the Director, Strategy & Operations, the Senior Executive Assistant will provide comprehensive administrative and proactive executive support to the WBG Managing Director and Chief Financial Officer. The selected candidate will be expected to create a positive and cohesive work environment within the fast-paced and strongly client-oriented culture of the WBG and ensure the smooth and efficient operation of the Front Office, as well as help coordinate the overall outcome of the Front Office team. These duties will be made up of (i) acting as the point of contact between the front office and internal/external clients, (ii) ensuring the MD’s calendar is up to date, arranging/ prioritizing meetings and appointments and provide reminders, (iii) managing large scale meeting events (e.g., Spring & Annual Meetings), (iv) managing MDCFO’s mission travel logistics (v) drafting correspondence, memos, and emails. This position reports to the Director of Strategy and Operations in MDCFO.

Requirements

  • High School diploma and at least 10 years of relevant work experience or equivalent combination of education and experience (e.g., Bachelor’s degree, plus minimum 6 years' experience).
  • Extensive experience working with Executive Level/Senior Management in multiple VPUs.
  • Ability to quickly gain an understanding of business activities, policies and processes.
  • Capacity to work simultaneously, effectively and efficiently on a variety of diverse issues and tasks, independently adjusting priorities and achieving results with agreed objectives and deadlines.
  • Responsiveness to demands of the executive, internal and external clients.
  • High degree of tact and discretion in dealing with internal and external clients, staff and managers at all levels, and in handling confidential and sensitive information.
  • Proactive, strong initiative and record of performance with low supervisory requirements to function effectively as a member of a team within high pressure work environment.
  • Advanced knowledge of computer applications, including standard office and information technology packages (Word, Excel, PowerPoint, Outlook, OneDrive) and analytical skills in manipulating data and maintaining financial and other databases. Willingness to learn new programs and applications as needed.
  • Experience in leveraging AI driven tools and technologies to improve office productivity and flow of information, such as Microsoft Copilot and MAI.
  • Excellent English communication skills – verbal and written.
  • Flexibility and willingness to work extended hours at short notice as required.

Responsibilities

  • Work with a high level of discretion in providing wide-ranging executive assistance in setting and managing priorities and the workflow of the MDCFO.
  • Coordinate the MD's schedule of meetings and appointments to ensure effective time management; ensuring timely response to internal & external client requests, including members of Senior Leadership Team (SLT), Vice Presidents, Directors, International Organizations & country clients. Scheduling to include effective prioritizing and resolving related conflicts and competing demands.
  • Ensure relevant documents and papers are available for meetings, including background materials and latest numbers, or provision of timely talking points.
  • Ensure deadlines are met, and documents requiring signature are of high quality and adhere to administrative and operational guidelines. Monitor and follow-up on issues and priorities, ensuring that appropriate consultations take place. Ensure appropriate follow-through actions, decisions, and commitments made by the CFO.
  • Take lead role in scheduling Annual and Spring Meetings related events.
  • Manage and ensure the timely provision of briefing books and materials for meetings and events.
  • The Senior Executive Assistant will assume the prime responsibility for organizing the effective administrative functioning of the CFO's Front Office and coordinating the most efficient workflow of the overall Front Office Team.
  • Assist the Front Office Team members with respect to ad hoc matters, including coordinating meetings, procurement, travel and other matters.
  • The Senior Executive Assistant will promote an open, proactive and conducive work environment.
  • Mentor, coach, guide other ACS staff in the Front office, including shifting assignments between them as needed in line with changes in the workload of teams. Ensure assignment of core functions to different ACS staff and monitor that they are smoothly executed.
  • S/he will also work with the Program/Executive Assistants from other MDCFO Units to develop a high level of teamwork by providing leadership on quality control of documents to ensure consistency and compliance with established standards and procedures; as well as review and maintain effective monitoring, tracking, filing and retrieval systems, including LARS.
  • As the first point of contact for senior internal and external stakeholders—including Board members, WBG senior leadership, country and private sector clients, visitors, callers, and dignitaries—the Senior Executive Assistant is expected to use sound judgment, tact, and discretion in handling inquiries, redirecting them as appropriate, and managing sensitive or confidential matters where multiple courses of action may be possible.
  • Establish and maintain an effective network of contacts both inside and outside the Front Office to ensure effective liaison in support of office needs.
