About The Position

This role is a Senior Executive Assistant to the President at Pacific Northwest University of Health Sciences (PNWU) in Yakima, WA. It is a full-time, on-site position supporting the Office of the President during a period of new leadership and strategic direction. The university is mission-driven, focused on educating healthcare professionals for rural and underserved communities. This position offers the opportunity to work closely with university leadership, contribute to PNWU's evolution, and be at the center of important university operations. The Senior Executive Assistant will act as a trusted partner to the President and provide executive-level support to the Chief of Staff/Vice President of Operations, managing complex schedules, communications, meetings, and special initiatives. The role requires discretion, professionalism, and the ability to manage competing priorities in a fast-paced environment.

Requirements

  • Bachelor's degree and at least five years of administrative support experience, preferably within an academic or executive office environment; or an equivalent combination of education and experience that demonstrates the ability to successfully perform the role.
  • Experience managing complex calendars and coordinating executive-level meetings.
  • Strong organizational, communication, and time-management skills with the ability to navigate multiple priorities in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality, exercise sound judgment, and operate professionally in a highly visible setting.
  • Exceptional interpersonal and customer service skills when working with a wide range of internal and external stakeholders.
  • Polished written and verbal communication skills with strong attention to detail.
  • Proficiency with Microsoft Office, including Word, Outlook, Excel, and PowerPoint, along with comfort using scheduling and file-management systems.
  • Experience working in higher education, healthcare, or another mission-driven organization.
  • A commitment to professionalism, accuracy, collaboration, and discretion.

Responsibilities

  • Serve as a trusted administrative partner to the President and Chief of Staff/Vice President of Operations, managing calendars, correspondence, documents, follow-up, and competing priorities.
  • Coordinate complex executive schedules and meetings, including in-person, hybrid, and virtual logistics, agendas, briefing materials, minutes, and action items.
  • Prepare high-level drafts of reports and communications on behalf of the President, conducting research and synthesizing information as needed.
  • Coordinate executive travel, including airfare, lodging, itineraries, and related logistics.
  • Serve as a key point of contact for the Office of the President, creating a welcoming and professional experience for faculty, staff, students, visitors, and external stakeholders.
  • Handle sensitive and confidential information with discretion while exercising independent judgment about priorities and issues requiring escalation.
  • Facilitate communication between the Office of the President, Vice Presidents, and other senior leaders.
  • Support executive leadership committees, cross-divisional projects, and special initiatives, helping track progress and identify potential barriers or resource needs.
  • Coordinate institutional events involving the President, including logistics, RSVPs, materials, setup, and communication with internal and external partners.
  • Maintain executive tracking systems, mailing lists, contract databases, and relevant University Leadership content on PNWU's website and internal platforms.
  • Identify opportunities to improve the efficiency and effectiveness of Office of the President operations.
  • Help oversee the day-to-day coordination of the President's suite, including front office reception, supplies, and related operational needs.
