About The Position

The Senior Executive Coordinator to the President serves as the central point of coordination for the Office of the President, ensuring efficient administrative and operational day-to-day functioning of the office while providing a welcoming, professional, and highly responsive experience for internal and external stakeholders. The ideal candidate possesses exceptional emotional intelligence, discretion, and diplomatic skill necessary to represent the President’s Office. You are a proactive communicator and natural problem-solver who operates with calm authority in a fast-paced environment. Strong relational skills, sound judgment when handling confidential information, and the ability to build collaborative connections across a complex academic institution are essential for success in this role.

Requirements

  • Bachelor’s degree and at least 7 years of experience required (or equivalent combination of education and work experience) of progressively complex administrative and customer service experience supporting senior leadership or C-level executive(s).
  • Excellent written and oral communication skills, including grammar, spelling and composition are necessary.
  • Exceptionally strong organizational skills and analytical abilities.
  • Proven interpersonal skills and experience providing complex administrative support in a high profile environment with courtesy, professionalism, diplomacy, efficiency and confidentiality.
  • Ability to effectively manage and prioritize multiple tasks, understand stakeholder needs, and work under pressure.
  • Proficiency in the use of standard office equipment such as printers, copiers, faxes, and scanners.
  • Excellent skills with standard office productivity software including Gmail, Google Calendaring and other applications, Microsoft Office Suite (MSWord, Excel, Outlook and PowerPoint), including the use of advanced formatting of Google docs/Word, Google slides/PowerPoint, and Google sheets/Powerpoint.
  • Proactive self-starters who will also take direction and feedback from supervisors.

Responsibilities

  • Serves as the central point of coordination for the Office of the President.
  • Ensures efficient administrative and operational day-to-day functioning of the office.
  • Provides a welcoming, professional, and highly responsive experience for internal and external stakeholders.
  • Manages the complex needs of the Chief of Staff and President.
  • Gains a firm grasp of the organization of the University.
  • Maintains a strong working relationship with offices throughout the University.
  • Interacts closely with all direct reports of the University President.
  • Interacts with all levels of university leadership, counterparts in other offices, Board members and their representatives, and external colleagues.
  • Interacts on a regular basis with internal as well as external constituencies including faculty, staff, students, alumni, University officials, local, national and international government officials and VIP dignitaries.
  • Proactively engages with, learns and communicates with evolving technologies to enhance the productivity of the Office of the President.
