About The Position

Under limited supervision, this position performs a broad range of advanced administrative, fiscal, and project coordination functions in support of the Chief Operating Officer/Senior Vice President. The role requires a highly experienced and trusted executive assistant with demonstrated success supporting C-suite executives in a complex, fast-paced environment requiring professionalism, sound judgment, discretion, confidentiality, and exceptional organizational skills. Responsibilities include complex and detailed calendar management; coordination of high-level meetings; preparation of agendas, briefing materials, presentations, and supporting documentation; travel coordination; budget-related administrative support; specialized recordkeeping and database management; and coordination of special projects. The incumbent must possess strong analytical, communication, and problem-solving skills, along with the ability to manage multiple competing priorities and deadlines with a high degree of accuracy and professionalism. This position serves as a primary point of contact for internal and external stakeholders on matters pertaining to the Office of the Chief Operating Officer/Senior Vice President and functions as a liaison with the Office of the President, senior leadership, Office of the General Counsel, and the Broward College Foundation and Institutional Advancement. The role requires exceptional professional maturity, diplomacy, integrity, and the ability to manage highly sensitive and confidential information with the utmost discretion. The position requires travel among Broward College campuses in support of the Chief Operating Officer/Senior Vice President, including coordination of materials and logistics necessary to support executive operations across locations.

Requirements

  • Associate degree required.
  • Seven years of progressively responsible experience as an administrative or executive assistant supporting complex office operations and executive-level functions.
  • Three years of experience should include direct support to senior leadership or C-suite executives.
  • Advanced proficiency in Microsoft Office Suite, including PowerPoint, Word, Excel, and Outlook, with the ability to prepare executive-level presentations, reports, spreadsheets, and correspondence.
  • Demonstrated ability to quickly learn and effectively utilize new technologies, enterprise systems, financial and budget management software, records management systems, and other business applications.
  • Ability to independently manage and support administrative processes related to travel and expense reporting, purchasing requisitions, budget tracking, position-related transactions, and executive office operations.
  • Strong organizational, analytical, interpersonal, and communication skills, with professionalism and discretion necessary to interact effectively with senior leadership, internal stakeholders, and external partners.
  • Ability to coordinate multiple projects, priorities, and deadlines in a fast-paced environment while maintaining a high level of accuracy, confidentiality, and customer service.

Responsibilities

  • Provides high-level executive administrative support to the Chief Operating Officer/Senior Vice President, requiring professionalism, discretion, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.
  • Manages and prioritizes a complex executive calendar, including coordination of meetings, travel arrangements, events, and related logistics.
  • Coordinates executive-level meetings by preparing agendas, compiling briefing materials, and facilitating follow-up on key initiatives and action items.
  • Serves as a liaison between the Office of the Chief Operating Officer/Senior Vice President and internal and external stakeholders, including senior leadership and the Office of the President.
  • Supports operational initiatives and special projects through research, communication, records management, budget-related administrative support, and coordination across multiple college locations.
  • Performs other duties as assigned.
