Requirements

  • Bachelor's Degree in Business, Health Administration or related field.
  • Minimum of 10-12 years of progressive leadership experience in an academic medical center.
  • Thorough understanding of the management of an academic clinical department/Division including the management of a physician group practice.
  • Excellent communication skills are essential to interface effectively with diverse internal and external professional groups and committees.
  • Qualified candidates must be able to effectively communicate with all levels of the organization.

  • Master's Degree preferred.
  • Prior experience with professional or facility billing preferred.

Responsibilities

  • Oversees the financial management of division(s), including budget preparation, monitoring, and variance reporting for various funding sources (school operating, discretionary, affiliation, Tisch funding, endowments, Faculty Group Practices).
  • Develops and oversees the implementation of business plans for all programs within the division(s), including planning, analysis, marketing, and implementation.
  • Provides administrative support to the Chair, Department Administrator, Attending Physicians, and House Staff on workload and revenue indicators, analyzing data and making recommendations.
  • Develops strategies to optimize funding and financial support for professional activities, overseeing capital and operating budgets, and implementing cost containment and revenue maximization strategies.
  • Provides oversight and administrative direction for all grant management activity and clinical research compliance within the division(s).
  • Supports Hospital Section Chiefs in developing clinical research programs, identifying and coordinating necessary resources.
  • Oversees the management of funding from grants and contracts, ensuring compliance with funding agencies and the IRB.
  • Meets regularly with Offices of Clinical Trials and Grants Administration to address divisional issues.
  • Provides administrative management support for the recruitment of new faculty in collaboration with the Chair, Department Administrator, and leadership.
  • Oversees administrative services provided to all faculty within the division(s).
  • Develops and implements strategic plans for faculty recruitment in targeted growth areas.
  • Coordinates with the Hospital regarding resources for recruits, including space and equipment.
  • Oversees administrative support for the credentialing of all practicing/admitting physicians.
  • Coordinates the activity of the Department Appointment and Promotions Committee and oversees administrative support for processing faculty appointments and promotions.
  • Notifies clinical faculty of hospital events and encourages attendance.
  • Organizes communication mechanisms for MDs and House Staff.
  • Plans, develops, and recommends new programs for the division(s), establishing annual goals aligned with institutional objectives.
  • Organizes and conducts in-service sessions and implements new programs.
  • Proposes and implements programs to generate additional revenue.
  • Schedules and conducts regular meetings with key personnel to promote effective services.
  • Submits long and short-term goals to leadership on a regular basis.
  • Prepares reports on the status of Division objectives and initiatives.
  • Works collaboratively to accomplish goals in accordance with the Medical Center's mission statement.
  • Oversees the development and implementation of policies and procedures for the Department/Division.
  • Ensures compliance with regulatory mandates (JCAHO, NYS DOH, NYC DOH, Medical Staff Bylaws, corporate compliance).
  • Oversees the development and coordination of the Department and Divisions QA/QI process.
  • Develops and processes changes required to comply with new or changing regulations.
  • Develops and approves effective complaint procedures.
  • Oversees the preparation of all externally and internally mandated reports.
  • Communicates new policies, procedures, and regulatory changes to staff.
  • Establishes mechanisms to facilitate compliance and reinforce policy changes.
  • Oversees the strategic development of space and facilities planning for division(s).
  • Serves as Project Manager for major construction and renovation projects within Division(s).
  • Ensures Divisions' interests are honored in space reallocation, construction, or capital equipment purchases.
  • Oversees the negotiation of capital equipment and ensures appropriate financial documentation.
  • Provides administrative supervision of all aspects of the academic programs within the Division(s).
  • Oversees non-medical staff responsible for residency and/or fellowship programs.
  • Ensures coordination and compliance with regulations for resident and/or fellow recruitment.
  • Oversees documentation of House Staff and/or fellows scheduling and timekeeping for compliance.
  • Analyzes scheduling of House Staff and/or fellows and addresses issues with the Program Director.
  • Develops and recommends strategies to address compliance issues related to academic programs.
  • Oversees coordination of administrative activities with the central House Staff Affairs Office.
  • Coordinates and ensures appropriate preparation for ACGME site surveys.
  • Oversees documentation of clinical rotation of medical students.
  • Manages the entire non-physician staff within the division(s).
  • Directs and coordinates administrative personnel to assigned tasks and projects.
  • Interviews and hires staff, clearly defining responsibilities and performance standards.
  • Addresses performance issues and identifies areas for growth.
  • Implements the Schools disciplinary process.
  • Conducts performance reviews in accordance with guidelines.
  • Encourages performance improvement among staff.
  • Serves as a mentor to staff.
  • Oversees all staff development and training programs.
  • Promotes an environment conducive to shared learning.
  • Oversees clinical operations and revenue cycle management, including front-end operations (registration, verification, co-pays) and back-end operations (KPI analysis, billing, collections).
  • Develops new faculty and programmatic business plans for growth.
  • Develops productivity measurements/compensation models for clinical faculty.
  • Negotiates contracts for services to other institutions.
  • Oversees faculty and mid-level staff credentialing, medical staff privileges, and reappointment reviews.
  • Participates in departmental Quality Assurance (QA) meetings and submits deliverables.
  • Reviews and addresses Patient Satisfaction/Press Ganey results and implements action plans.
  • Provides oversight of High Reliability Organization (HRO) pilot and implementation.
  • Provides oversight of Zero Harm initiative.
  • Works to reduce preventable readmissions, M&M, and LOS.
  • Ensures metrics for response are followed for Epic inbox messages and appointment requests.
  • Ensures patient complaints are resolved in a timely fashion.
  • Works with hospital colleagues to ensure programs meet all required accreditations.
  • Completes and assures staff and faculty compliance of all required trainings.
  • Liaises with Hospital Leadership for clinical service lines management.
