About The Position

The ROM Foundation is seeking a relationship-driven and detail-oriented Senior Development Officer, Impact & Engagement to play a key role in strengthening donor relationships and enhancing the overall philanthropic experience at the Royal Ontario Museum. This role will help shape how impact is communicated, ensuring meaningful engagement and high-quality stewardship across a diverse donor portfolio. Requirements

  • A university degree and a minimum of 3–5 years of related experience in a professional environment.
  • Proven exceptional oral, written and communication skills.
  • Outstanding interpersonal skills and professional presence necessary to interact with Museum staff, donors and volunteers.
  • Ability to meet multiple deadlines and manage a diverse range of assignments in a fast-paced environment with thorough attention to detail.
  • Resourcefulness and independence, while remaining comfortable working within the framework of a team-oriented environment.
  • Excellent word processing skills and technical experience.
  • Willingness to develop new skills.
  • Adaptability with technology and readiness to learn new software.
  • Knowledge of the philanthropic sector and understanding of the vision, mission and values of the ROM and the role of the ROM Governors.

Responsibilities

  • Support the development, implementation, and ongoing refinement of a donor reporting matrix and standardized templates for impact reporting.
  • Contribute to the creation of high quality, customized impact reports by coordinating information gathering from Museum colleagues, drafting content, and managing design, review, and approval processes in partnership with Communications.
  • In collaboration with the Communications team, help implement and advance the use of digital and video reporting tools to enhance customized donor impact reports.
  • Manage the impact reporting calendar, including scheduling new reports and tracking progress to ensure all reports are completed accurately and on time.
  • Project manage stewardship deliverables outlined in Major Gift donor and partnership agreements to ensure commitments are met and communicated effectively.
  • Collaborate closely with the VP, Donor Services & Engagement to ensure donor relations processes and practices are implemented to support and strengthen the donor journey.
  • Oversee and coordinate engagement touchpoints including holiday cards, invitations to stewardship events, and the communication of Museum milestones and announcements.
  • Serve as Stewardship Manager for an assigned donor portfolio, partnering closely with Relationship Managers to design and deliver tailored stewardship plans aligned with each donor’s interests and expectations.
  • Coordinate quarterly stewardship meetings with Relationship Managers, including preparing and distributing stewardship reports, documenting and circulating notes and action items, and updating related activities and follow ups in Raiser’s Edge NXT.
  • Collaborate with Relationship Managers to regularly capture and maintain donor interest information in Raiser’s Edge NXT, ensuring records remain current and relevant; generate interest-based lists to support targeted invitations and stewardship initiatives.
  • Partner with program leads and Database Manager to coordinate recognition lists from all programs in Year-in-Review, website and other publications or recognition systems. Work with Museum communications on Year-in-Review content and distribution plan with donors.
  • Work on special stewardship projects and recognition for major gift donors as required.
  • Serve as GiftMap administrator, overseeing the ongoing maintenance of opportunities, photographs, and templates to ensure a seamless experience for Relationship Managers and donors; support and participate in training for fundraisers.
  • Lead the annual endowment fund reporting process to ensure efficiency, accuracy, and clear communication of donor impact.
  • Project manage the endowment fund report cycle, including gathering information from Museum staff, developing report templates, coordinating with Finance on fund statement content, drafting reports, and working with Relationship Managers to plan and support distribution.
  • Oversee the engagement strategy for endowment fund contacts, including facilitating an annual debrief and reviewing the reporting and engagement process to inform continuous improvement.
  • Co-lead the planning and coordination of ROM Governors’ annual stewardship event, ROM Celebration, in collaboration with the Events and Communications team.
  • Contribute to the planning and execution of key donor stewardship events including gift announcements, tours and others.
  • In partnership with the Database Manager, manage donor and prospect lists for events and key donor communications by defining appropriate selection criteria, organizing and segmenting lists, and coordinating internal reviews to ensure all relevant stakeholders and donors are accurately included.
