About The Position

Under the supervision of the Insurance Manager, the Senior Correspondence Representative supports insurance follow-up, denials reduction, and payment resolution efforts by leading correspondence workflows on behalf of all insurance projects. The Senior Correspondence Representative is responsible for maintaining all printing, mailing, and updating patient records for any insurance or patient correspondence. They will oversee the processing of all paper and digital correspondence, auditing uploads into patient charts for accuracy and appropriate actions taken. The Senior Correspondence Representative will have an understanding of insurance follow-up as well as an eye for efficiency and detail. They will assist the Correspondence team in navigating the client’s host system and internal systems, providing training where needed. They will manage inventory of all required supplies. This role is 100% on-site at our Houston office.

Requirements

  • High school diploma or equivalent required
  • One year (12 months) of revenue cycle experience
  • Keen attention to detail to ensure 100% accuracy on patient accounting records
  • Basic medical terminology
  • Outstanding listening, communication, problem-solving, and research skills
  • Capable of learning multiple software systems
  • Capable of learning basic health insurance payment and denial processes
  • Proficiency in Microsoft Office suite
  • Ability to communicate effectively, both verbally and in writing
  • Ability to work well under pressure and multi-task routinely
  • Demonstrated stable work history
  • HIPAA knowledge and compliance
  • Has reliable transportation and positive, consistent attendance history
  • Resides within commutable distance to our Houston office location

Responsibilities

  • Oversees all digital print request folders, taking appropriate indexing and mailing actions for each within two business days
  • Ensures any paper mail from patients or insurance companies is processed within two business days of receipt
  • Employs strict adherence to privacy guidelines when handling patient correspondence, ensuring 100% accuracy with patient identification
  • Keeps track of postage and paper usage, submitting orders or supply requests as needed
  • Works with Insurance Representatives to resolve any failed scans or printouts
  • Verifies denials have been logged and patient accounts have been placed for follow-up within 72 hours of receipt
  • Aids in teaching correct account statuses based on correspondence type
  • Communicates high priority accounts to Insurance Supervisors
  • Places calls to patients for missing documentation for insurance processing
  • Places calls to insurance companies for claim statuses as needed
  • Trains Correspondence team on thorough documentation and account notes
  • Understands insurance follow-up requirements and anticipates ways to assist with payment resolution
  • Meets all department performance requirements, to include productivity, quality, and attendance standards
  • Performs Correspondence duties assigned to the team and sets a positive example for teammates
  • Performs other duties as requested in a team-oriented environment
