About The Position

Responsible for supporting and coordinating Early Careers initiatives, including the UDX Orlando Internship Program, to ensure smooth operation. This role encompasses programming, project management, and data analysis, along with team efforts in hosting presentations, supporting events, and maintaining communication channels.

Requirements

1+ year in Human Resources, Project Management support, Event Planning, Communication/Training or Business/Professional function is required.
Strong organizational, project management, and coordination skills with the ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment.
Strong analytical skills with experience compiling, validating, and reporting data using Excel, including formulas, pivot tables, dashboards, charts, and trend analysis.
Skilled in developing professional PowerPoint presentations and executive-ready materials that effectively communicate key insights, recommendations, and program outcomes.
Excellent written, verbal, and presentation skills with the ability to tailor messaging and deliver information effectively to diverse audiences, including leadership and large groups.
Demonstrates strong attention to detail and accuracy while maintaining high-quality standards across communications, reports, and deliverables.
Builds strong partnerships through collaboration, relationship management, and a customer-service mindset.
Exercises professionalism, discretion, confidentiality, and sound judgment when handling sensitive information.
Self-motivated and accountable, with the ability to work independently, take initiative, and drive projects to completion.
Effectively receives direction, manages follow-through, and provides proactive updates to stakeholders on progress and outcomes.
Maintains knowledge of UDX brand standards and organizational practices to ensure consistency across communications and materials.
Highly proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, and Teams), SharePoint, and reporting tools, with experience creating data visualizations, presentations, and business reporting.

Nice To Haves

Bachelor’s degree in Psychology, Human Resources, Organizational Development, Marketing, Communications, or General Business/Project Management field is highly preferred.

Responsibilities

Serves as the liaison between the Early Careers Team and Recruitment Teams to monitor intern hires and ensure seamless position openings, recruitment, and processing.
Maintains the annual tracker, tracking and communicating adjustments, and keeping an open line of communication with Recruiters.
Engages directly with HRBPs, Finance Representatives, and senior leadership regarding request statuses, inquiries, and recruitment updates.
Supports Early Careers and internship programming by coordinating communications and logistics, including preparation of pre-semester materials, newsletters, contact lists, housing information, event invitations, attendance tracking, co-hosting programming events, and maintaining accurate, up-to-date SharePoint resources.
Coordinates the intern request process by creating and administering the Intern Request Form.
Collaborates across Talent & Culture, Finance, and HRBP teams to support approvals and facilitate semester extensions.
Tracks and analyzes Early Careers metrics, prepares recurring and ad hoc reports, and provides data-driven insights and summaries to leadership.
Monitors the shared internship Outlook inbox and Teams chat, addressing general inquiries and coordinating follow-ups with relevant partners.
Communicates with interested students, current interns, hiring managers, and senior leadership.
Organizes emails into folders for easy reference and maintains the intern distribution list pre-semester and during.
Partners with Payroll to ensure timely and accurate intern stipend payments, submitting corrections as needed, and translates intern information into financial documents for submission.
Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training, and team member involvement activities.
