About The Position

The Senior Coordinator, Environmental & Regulatory Projects reports directly to the Vice President, Environmental, Regulatory Projects. This role has the opportunity to assist with permitting processes, general regulatory support of LNG and pipeline projects in the development and construction phases, compliance support, and regulatory changes. Additionally, the role provides general departmental administrative support responsibilities, which may include Budget and Invoice Management, Document Management and Processing, Information Management, as well as Inter and Intra Departmental Coordination.

Requirements

  • Understanding of the time commitment necessary to support transactional clients in a high-volume deal environment.
  • Knowledge of office management administration, principles, methods, and procedures.
  • Aware of sorting/filing techniques and records retention policies and schedules to maintain accurate records.
  • General knowledge of compliance functions or commodity trading businesses.
  • Strong written and verbal communication skills to effectively interact with internal and external stakeholders of various levels with minimal supervision.
  • The ability to effectively multitask, i.e.: manage multiple events and projects concurrently, is essential.
  • Must be detailed oriented, with excellent analytical, time management, and organizational skills, and effectively meet deadlines with minimal oversight.
  • An effective communicator at all levels of an organization and with individuals and groups from different disciplines, industries, and governmental agencies and exhibit exceptional written, oral, and interpersonal communication skills.
  • Ability to quickly understand and summarize key developments across a wide range of federal, state and local regulatory programs.
  • Skill in developing presentations, briefing sheets, and analysis related to the overlay of such legal and regulatory requirements and developments against Company initiatives.
  • Advanced computer knowledge including excellent knowledge of Microsoft Office Suite including Word, Excel, Access, and PowerPoint, legal and financial software platforms (such as Oracle, Litera, Workshare, Documentum, SharePoint, and/or other tools), and the aptitude to continually learn new software or applications as required.
  • Ability to maintain confidentiality, exercise sound judgment, and handle sensitive information with discretion.
  • Five (5) or more years of experience as a Coordinator or similar role supporting a legal organization.

Responsibilities

  • Assist in preparing and submitting regulatory filings in compliance with applicable requirements.
  • Support the broader team’s efforts to obtain governmental authorizations, including but not limited to work under the Clean Air Act, the Clean Water Act, and FERC’s Natural Gas Act and NEPA process for jurisdictional projects and activities, including preparation for technical reports, hazards analyses, and progressing siting requirements for LNG facilities.
  • Create, edit, and proofread legal documents, correspondence, and presentations with a high degree of accuracy.
  • Effectively and accurately manage the processing of all third-party vendor invoices in accordance with the relevant contract and company policies, track payments, and resolve discrepancies in a timely manner.
  • Maintain departmental budget, including weekly reconciliation of third-party invoices to ensure alignment with financial objectives.
  • Maintain calendar of specified regulatory filings and assist legal and compliance teams to ensure that all relevant filings are submitted in a timely manner.
  • Develop PowerPoints, summaries and other analyses to support the broader team’s work.
  • Collect data for and generate reports for management to review that are required for internal and external use, including budgets and forecasts, purchase orders, accounts payable summary reports, organization charts, compliance training records, and project status reports.
  • In coordination with the Vice President, Environmental, Regulatory Projects, and Managing Counsel, and other Legal Department leadership team members, ensure action items from meetings are distributed and accounted for and provide status updates on the same as requested.
  • Organize and coordinate departmental activities (including monthly meetings, periodic team activities, regular departmental reports periodic departmental training sessions) with minimal direction and serving as the departmental point of contact.
  • Ensure annual professional certification/license renewals on behalf of department members.
  • Develop and implement departmental document management processes, utilizing tools like Documentum and SharePoint for proper storage, version control, and retrieval in accordance with company policies and procedures.
  • Maintain the database of compliance reports, compliance-generated memoranda, and other legal and compliance-related files.
  • Organize and maintain physical and electronic departmental files, ensuring compliance with company record retention policies.
  • Performs duties and responsibilities described above along with additional tasks that may be assigned to the employee from time to time by the Vice President, Environmental, Regulatory Projects, and Managing Counsel; or the scope of the job may change as necessitated by business demands.
