About The Position

The Pan American Development Foundation (PADF) seeks a Temporary Senior Coordinator, Grants & Contracts to support the Grants & Contracts Department and work directly with the Director of Grants & Contracts in its Headquarters in Washington, D.C. to focus on the closeout of Awards, as well as working on process improvements under the Grants and Contracts area of responsibility. The duration of the work is estimated to be about 4 months, until September 30, 2026. The position is anticipated to be based in Washington, D.C. on a hybrid modality.

Requirements

  • Bachelor’s degree, in a relevant field such as management, law, international relations, or related field.
  • Minimum of four (4) years of experience in international donor assistance organizations, with a focus on grants operations.
  • Experience working on or administering contracts, grants, or cooperative agreements issued by U.S. Government (e.g., USAID, USDA, or State Department) and other international donors.
  • Fluency (written and oral) in Spanish and English.
  • Knowledge of U.S. Government rules and regulations (2 CFR 200).
  • Experience with cross-collaboration among program, finance and G&C teams.
  • Experience with elaboration and adaptation of templates.
  • Experience in contract, cooperative agreement, or grants implementation and monitoring.
  • Proficiency in Microsoft Office, particularly Word and Excel, with strong computer skills and ability to learn new software systems.

Nice To Haves

  • A Master's degree in a relevant field is highly desirable.

Responsibilities

  • Lead the Closeout process of Awards, coordinating with all involved stakeholders ensuring closeout checklist is being followed, respecting due dates, timelines, and that tasks are completed as needed including financial and programmatic verification to ensure timely and streamlined closure of Awards and subawards.
  • Support as required in the revision and improvement of existing grants and procurement processes, ensuring alignment with regulatory requirements and industry best practices. This may include: Requests for Procurement (RFPs) / Requests for Quotations (RFQs), Requests for Applications (RFAs), Evaluation committee guidelines, Subrecipient monitoring frameworks and tools, ensuring effective oversight and compliance, Other solicitation processes as needed.
  • Assist with the review and approval of subaward issuance, including the thorough revision of agreements to ensure compliance with internal policies as well as with donor requirements.
