About The Position

Acts as the administrative secretary for the Student Support department. Provides clerical services and manages office activities. This role requires strong organizational and communication skills, proficiency in various software applications, and the ability to handle confidential information and interact with the public. The position also involves budget assistance, report preparation, and record maintenance.

Requirements

  • High School Diploma or GED required.
  • Proficient skills in typing, word processing, and file maintenance.
  • Ability to keep confidential information.
  • Effective communication and interpersonal skills.
  • Ability to make independent decisions.
  • Ability to deal with the general public.
  • Strong organizational and time management skills.
  • Ability to use personal computer and software to develop spreadsheets, databases, word processing, PowerPoint (including Microsoft Office), Adobe Pro, Microsoft Publisher.
  • Spanish proficiency at native speaker level.
  • Three years of Clerical / office experience is required.

Nice To Haves

  • Some college is preferred.
  • Experience in a public education environment is preferred.
  • Accounting or bookkeeping experience is preferred.

Responsibilities

  • Assists in preparing and submitting local, state, and federal budgets.
  • Assists patrons/parents/employees who call or visit the office.
  • Answers incoming calls, takes reliable messages, and routes to appropriate staff.
  • Receives, sorts, and distributes mail and other documents to department staff.
  • Types, proofreads, copies, files, and distributes all letters, documents, memos, and other communications for the department and administrator.
  • Orders supplies for the department.
  • Prepares monthly budget/expense reports for department.
  • Processes purchase orders for departments.
  • Assists administrators on projects as needed.
  • Keeps up with changes in policy and procedures.
  • Keeps current all assigned files, documentation, & forms.
  • Responsible for properly maintaining district records, adhering to all policies set forth by the district for records maintenance and learning the records retention schedule for department records.
  • Other duties as assigned.
