Requirements

  • Bachelor’s degree with 2 years minimum prior of relevant work experience or equivalent combination of education and work experience.
  • Graduate Degree or equivalent with 0 to 2 years of prior related experience.
  • In lieu of a degree, minimum of 6 years of prior related experience.

Nice To Haves

  • 3–5 years of hands‑on payroll experience, including multi‑state processing for a mid‑ to large‑sized employer.
  • Strong working knowledge of payroll tax regulations and experience responding to federal, state, and local agency correspondence.
  • Familiarity with quarterly and annual tax filings (e.g., Forms 941, W‑2, W‑3) and reconciliation processes.
  • Experience with payroll tax systems or platforms such as SmartCompliance, MasterTax, ADP Tax, or similar tools.
  • Proficiency with payroll systems (e.g., PeopleSoft, ADP, Workday, UKG, Paylocity).
  • Advanced Excel skills and exceptional attention to detail.
  • Strong analytical and critical‑thinking abilities, with the ability to interpret data trends and investigate discrepancies.
  • Demonstrated ability to manage multiple deadlines and work independently with minimal supervision.
  • Understanding of multi‑state taxation, SUI, SIT, local taxes, and tax‑related regulatory standards.
  • Effective communication skills for collaborating with internal teams, vendors, and government agencies.
  • High level of reliability, discretion, and professionalism when working with sensitive payroll data.
  • Commitment to maintaining accuracy in all tax calculations, filings, and financial records.
  • FPC or CPP certification preferred, but not required.

Responsibilities

  • Lead the preparation, validation, and support of payroll tax filings across federal, state, and local jurisdictions.
  • Research, analyze, and resolve payroll tax notices, ensuring timely responses and accurate corrections.
  • Review payroll tax data for accuracy, identify discrepancies, and coordinate with internal teams and third‑party providers to ensure compliance.
  • Conduct routine audits of employee tax records, work locations, and tax configurations to maintain payroll system accuracy.
  • Monitor changes in tax regulations and support the implementation of required updates within payroll systems.
  • Partner with cross‑functional teams to enhance payroll tax processes, drive efficiency, and strengthen internal controls.
  • Provide detailed documentation, reporting, and support during internal and external payroll tax audits.
  • Ensure proper tax setup, withholding, and compliance for employees across multiple jurisdictions.
  • Maintain awareness of nexus rules, wage limits, reciprocity agreements, and other regulatory requirements impacting multi-state payroll.
