About The Position

Provides advanced administrative and computer support to Director and/or Assistant Director and their departments. This role involves initiating and following up on action items for projects, processes, and policies, coordinating with internal and external entities, and generating department correspondence and reports. The position requires the use of computer programs to analyze and maintain data, and dissemination of information to relevant parties. Responsibilities also include preparing expense reports, potentially creating presentations, screening calls and correspondence, managing executive calendars, coordinating meetings, making travel arrangements, and providing administrative guidance to the department. The role serves as a liaison for technology, supplies, onboarding, workspace coordination, and other logistical needs. It also requires active participation in Environmental, Health & Safety responsibilities and performing other assigned duties.

Requirements

  • High school degree or GED is required.
  • Proficiency in MS Word and Excel required.

Nice To Haves

  • Bachelor’s degree is preferred.
  • 2 to 5 years of administrative assistant experience preferred; or equivalent combination of education and experience.
  • Proficiency in MS PowerPoint and Outlook preferred.
  • Familiarity with UO systems is a plus.

Responsibilities

  • Initiate and follow-up on action items for new and/or routine projects, processes, and/or policies.
  • Coordinates with other departments and/or external sources.
  • Generates department correspondence and/or reports.
  • Uses appropriate computer programs to analyze, compile, update and maintain department correspondence and/or reports.
  • Disseminates data/information to the appropriate parties.
  • Prepares expense reports.
  • May create presentations and/or corresponding materials.
  • Screens/prioritizes/directs incoming calls and mail/correspondence, taking appropriate actions as necessary.
  • May maintain executive(s)’ and corresponding department’s calendars, coordinate meetings, and/or set appointments.
  • Makes travel and/or training arrangements when necessary.
  • Provides administrative support, direction, guidance, and/or training to department.
  • Serves as a liaison with other departments in acquiring and maintaining technology, supplies, onboarding, work space coordination, sourcing and other logistical needs through standard UO/UPR procedures.
  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.
