About The Position

RTX is seeking a highly motivated professional Senior Administrative Staff Coordinator/Executive Assistant to provide office management support to the functional Engineering Executive Finance Director. The successful candidate can effectively manage under time constraints, in a fast-paced work environment, and can multi-task. The candidate must be a self-starter, detail-oriented, technically savvy, and possess excellent organizational skills. The role performs a wide range of administrative tasks. This role also requires a high level of professionalism and the ability to maintain discretion and confidentiality of information. This position is an onsite role at either Tewksbury MA, Tucson AZ, McKinney TX or Portsmouth RI sites. However, the successful candidate will also be expected to work with employees across multiple locations and time zones.

Requirements

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience.
  • Experience with Microsoft Office suite
  • Previous experience as an administrative assistant and/or related role

Responsibilities

  • Manage calendars and regularly set-up, coordinate, and disburse meeting materials.
  • Proactively anticipate and schedule walk-ups for meetings.
  • Ensure that meeting materials are disbursed timely and archived on R-share site.
  • Preparation of travel reservations, travel agendas, offsite meetings and events, and expense statements.
  • Personnel onboarding and move support including requisitioning supplies, coordination with IT Services, and initiation of HR and supervisor updates.
  • Meeting set-up, room scheduling, coordination, and materials disbursement across multiple sites utilizing various types of equipment and software.
  • Order and expense catering when necessary.
  • Networking Team lead to provide virtual networking and employee engagement events to our geographically dispersed team
  • Proactively recommend system efficiencies to achieve organizational goals.
  • Effectively manage under time constraints, in a fast-paced work environment, and multi-task
  • Be a self-starter, detail-oriented, technically savvy, and possess excellent organizational skills
  • Display a high level of professionalism and the ability to maintain discretion and confidentiality of information.
  • Some travel between sites may be required (quarterly).
