In the role of Senior Administrative Assistant, you’ll report to the Office Principal to assist in the operations of the office and limited project support. We are seeking a motivated self-starter who is looking for an opportunity to support a rapidly growing office and build a career.

Requirements

  • High School diploma or equivalent
  • A minimum of 3 years experience in administrative support
  • Knowledge of MS Office Suite, including Word and Outlook
  • Excellent verbal and written communication skills
  • Professional, self-motivated, well-organized and detail-oriented with the flexibility and ability to prioritize and handle multiple tasks in a fast-paced environment
  • Ability to meet deadlines
  • Experience working in an office environment
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

Responsibilities

  • Provide administrative support for office support for staff, such as, phone coverage, mail and shipping and handling of packages, meeting scheduling, and expense report processing
  • Greet guests, clients, and company personnel with professionalism and a friendly demeanor
  • Supporting HR with on-boarding materials preparation, training new staff on office policies and procedures, and organizing participation in career fairs across the area
  • Coordinate meeting facilities, prepare meeting materials, and manage logistics
  • Assist in organizing office events and activities, ensure smooth execution including, but not limited to, arranging catering and budget development
  • Assist in budgeting and handling specific accounting tasks as needed for office operations
  • Type, edit, and organize documents such as reports and forms with attention to grammar and formatting
  • Create and manage Excel spreadsheets and PowerPoint presentations
  • Handle sensitive and confidential information with professionalism and discretion
  • Respond to inquiries regarding office policies and procedures
  • Organize and order office supplies, maintaining an efficient and organized inventory system
  • Coordinate office repairs with building management and update staff as needed.
  • Coordinate meeting space, supplies, and meals for groups using the office.
  • Keep the office orderly with some light cleaning
  • Provide a variety of administrative functions, which may include administrative support for one or more executives, phone coverage, reading and routing incoming mail, scheduling appointments and processing expense reports
  • Compose and organize materials and reports, and maintain records for work performed
  • Coordinate and manage meeting facilities and arrangements
  • Perform other duties as needed
