We're looking for a Senior Administrative Assistant to provide direct support to our Senior Leadership team while serving as a key resource for day-to-day office operations. This role manages leadership calendars, coordinates meetings, and handles correspondence and communications for Senior Leadership — while also maintaining records, processing documentation, and supporting administrative needs across departments. The ideal candidate brings strong organization, professionalism, and discretion to everything they do.

Requirements

  • 2–4 years of administrative experience, including experience supporting senior leadership or managers (required)
  • Strong calendar management, scheduling, and organizational skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Teams
  • Ability to maintain confidentiality and exercise discretion with sensitive information
  • Strong attention to detail and ability to manage competing priorities independently
  • Comfortable balancing high-level leadership support with day-to-day office administrative needs

Responsibilities

  • Provide administrative support directly to the President and Vice President, including managing calendars and scheduling internal and external meetings
  • Coordinate meeting logistics — preparing agendas, materials, and presentation decks, and tracking follow-up items from leadership meetings
  • Arrange travel logistics, including itineraries and reservations
  • Draft, proofread, and distribute correspondence, memos, and reports on behalf of leadership
  • Serve as a professional point of contact between leadership and staff, vendors, and clients
  • Scan, file, and maintain electronic and physical records, and perform data entry across multiple systems
  • Prepare and process company documents and forms, and support document retention and records management
  • Collaborate with Accounting, HR, and Operations on administrative projects, and help coordinate company events and employee recognition activities
