About The Position

Ulteig is seeking an outstanding, engaging, highly organized, Senior Administrative Assistant to work in our Fargo, ND or Minneapolis, MN office. The Senior Administrative Assistant will perform a wide range of administrative and office support activities for office locations, senior level leadership, and the company.

Requirements

  • A High School degree or equivalent (GED) required; two-year technical preferred
  • Minimum of 5 years of administrative experience preferred
  • Proven proficiency in Microsoft Software Applications (Word, Excel, Power Point, Outlook) and other relevant technologies
  • Proven history of successful support of senior level leadership with managing calendars, travel coordination, expense management, event, and meeting coordination
  • Excellent verbal/written communications, time management, analytical/interpersonal and organizational skills
  • Strong attention to detail, accuracy, follow through, and ability to work on multiple projects while maintaining deadlines
  • Ability to work both independently and collaboratively with individuals at all levels in the organization in a team environment
  • Proactive, resourceful, decision maker, and self-motivated forward thinker who actively seeks opportunities and proposes solutions for team, department, and company improvements
  • Ability to mentor and coach
  • Ability to work in a dynamic, fast paced environment
  • Ability to maintain confidentiality
  • Authorization to work permanently in the U.S.

Responsibilities

  • Provide significant administrative support to specific office locations and senior level leadership including, but not limited to, support of managing calendars, travel coordination, expenses, event/meeting management, and special projects
  • Assist and support operational processes and procedures improvement
  • Assist and support employee development and new hire training
  • Perform general clerical duties including photocopying, scanning, emails, reports, and binding and mailing projects as needed, etc.
  • Retrieve, assign, and complete requests for information and administrative support submitted through the help desk ticket system and in person
  • Provide excellent customer service to both internal and external clients
  • Assist in the preparation of meetings and townhalls
  • Create “life event” acknowledgements – cards, flowers, gifts, memorials, etc.
  • Act as back-up for other administrative and office assistant staff
  • Complete errands and all other duties as assigned
