About The Position

Americo is hiring an Senior Administrative Assistant to join our expanding team! This full time position is Monday - Friday 8:00 AM - 5:00 PM and is 100% on-site at our Downtown Kansas City office location. We are seeking a highly organized and proactive Sr Administrative Assistant to provide dedicated support to two organizational leaders. In this critical role, you will serve as a trusted partner by anticipating needs, managing priorities, and ensuring seamless day-to-day operations. The ideal candidate will demonstrate exceptional attention to detail, strong problem-solving skills, sound judgment, and the ability to communicate effectively with colleagues at all levels, as well as external vendors and partners. Success in this role requires adaptability, discretion, and the ability to balance multiple priorities in a fast-paced environment.

Requirements

  • Five or more years of experience in an administrative support role.
  • Excellent written and verbal communication skills with a professional and polished demeanor.
  • Strong organizational and multitasking abilities, with the ability to prioritize and adapt to changing needs.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • A high level of discretion and confidentiality when handling sensitive information.
  • Ability to work under pressure and meet tight deadlines in a fast-paced environment.
  • A proactive, problem-solving mindset with the ability to anticipate needs and take initiative.

Nice To Haves

  • Bachelor's degree from an accredited four-year college or university.

Responsibilities

  • Proactively manage and optimize executives' daily schedules, calendars, and meetings to support productivity.
  • Serve as the first point of contact for incoming calls and requests, prioritizing communications and responding appropriately.
  • Coordinate and organize meetings, conference calls, and special events, including preparing agendas and materials.
  • Oversee travel arrangements, including booking flights and accommodations, preparing itineraries, and managing last-minute changes.
  • Draft and edit correspondence, reports, presentations, and communications for internal and external stakeholders.
  • Maintain spreadsheets, documents, and PowerPoint presentations to support marketing initiatives.
  • Organize and manage department files and records for easy access and efficiency.
  • Assist with special projects, purchasing, and other administrative support as needed.
