About The Position

ClearView Healthcare Partners is seeking a Senior Administrative Assistant (Senior AA) to provide dedicated, high-level administrative support to their designated Leadership Team (LT) members and extended leadership as the primary focus of this role. This includes managing project tracking, providing dedicated support for Centers of Excellence (COE) or functional Pillars, and ensuring effective communication across internal teams and external clients. Senior AAs act as key liaisons who streamline processes, prioritize initiatives, and optimize their executives' time and focus on strategic priorities. Beyond this leadership-facing focus, the Senior AA also mentors and supports the broader Administrative Assistant team, and collaborates with that team as needed on general office-related needs, rather than owning day-to-day office operations directly. This role will report directly to the Office Manager.

Requirements

  • 2-4 years of experience in a professional office environment supporting 2 or more senior leaders.
  • Ability to independently manage complex calendars and schedule accordingly across multiple time zones.
  • A history of effectively managing leadership team members' schedules, expenses, and other administrative obligations.
  • Experience taking and organizing extensive notes from meetings and other company functions.
  • Strong attention to detail.
  • Professional written and oral communication skills.
  • Ability to manage projects and tasks to a timeline.
  • Ability to effectively manage up and set reasonable timelines.
  • Ability to own processes from start to finish.
  • Ability to think ahead to resolve issues before they arise.

Nice To Haves

  • Direct previous experience in an administrative assistant or office support role.
  • Experience in a lead or supervisory role with some form of team oversight.
  • Proficiency with Microsoft Office products (especially Outlook, PowerPoint, and Excel).
  • Collaborative “can do” attitude.
  • Experience with Salesforce.
  • Bachelor's degree.

Responsibilities

  • Provide project support for leadership, including tracking project budgets, managing invoicing processes, and providing project documentation support.
  • Support business development tracking.
  • Provide Pillar/COE support, including attending internal meetings, note-taking, and scheduling.
  • Enter and update opportunities in Salesforce on behalf of leadership.
  • Provide advanced calendar management and scheduling support at the Managing Director level and above, as needed.
  • Support large meetings, including venue management, logistics, tracking invitations, preparation of materials, and on-the-ground support when required (may include travel).
  • Act as a true right hand to leadership, anticipating their needs and offering proactive, strategic support.
  • Manage urgent travel requests.
  • Serve as a mentor to the Administrative Assistant team.
  • Partner with the Office Manager on new hire training for Administrative Assistants.
  • Coordinate a monthly touch base with Office Managers and set the agenda.
  • Act on behalf of the Office Manager when required.
  • Track departmental expenses in coordination with the Office Manager.
  • Contribute to a positive local office and team culture.
  • Supporting logistics for large team meetings.
  • Supporting in-office onboarding of new hires.
  • Kitchen and supply inventory (office dependent).
  • Supporting large in-office meetings, including food setup and removal after the meeting.
  • Help foster a positive, inclusive, and connected office environment that reflects company values.
  • Participate in office and company events and internal initiatives that strengthen culture, collaboration, and cross-team relationships.
  • Build effective working relationships across the office and contribute to a supportive team environment.
