About The Position

Smythe LLP (Smythe) is looking for an organized and proactive Senior Administrative Assistant to support our Canadian Tax practice in Downtown Vancouver. The ideal candidate will have a proven track record as a detail-oriented, tech-savvy and resourceful administrator, with strong written and verbal communication skills. We have an exciting opportunity for a self-starter to join the Smythe team to provide senior administrative support with the day-to-day operations of our Canadian Tax team.

Requirements

  • 3-5 years of progressive experience in senior administrative, business operations, or related business support roles.
  • Experience working with technology and digital tools to improve administrative and operational processes
  • Demonstrated ability to learn new technologies quickly and apply them to practical business situations
  • Strong interest in emerging technologies, artificial intelligence, automation, and digital workplace tools.
  • Excellent verbal and written communication skills, with the ability to build effective relationships and provide outstanding service to clients and internal stakeholders at all levels
  • Proven ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion and professionalism.
  • Proficiency with Microsoft Office applications and other business technology tools, including Copilot, Word, Excel, PowerPoint, Outlook, and database systems.
  • Self-motivated, adaptable, and resourceful, with a proactive approach to problem-solving and continuous improvement.
  • Flexibility to support business and client needs, including occasional additional hours as required.

Responsibilities

  • Provide senior-level administrative support to Partners and Managers, including calendar management, meeting coordination, travel arrangements, and related operational support.
  • Proactively manage priorities, deadlines, and administrative requirements to support the efficient execution of client and business activities.
  • Maintain accurate client records, databases, and administrative systems, ensuring information remains current and organized.
  • Prepare, edit, proofread, and coordinate the delivery of professional correspondence, reports, presentations, meeting materials, and other client-facing documents.
  • Serve as a key point of contact for clients and internal stakeholders, coordinating correspondence, responding to inquiries, and supporting administrative processes, including expense management.
  • Collaborate with Senior Admins and cross-functional teams to support process improvements, data governance, maintain procedures, and contribute to training and knowledge-sharing initiatives.
  • Prepare meeting agendas, minutes, follow-up communications, and routine correspondence, including client and CRA-related documentation.
  • Support firm-wide events, initiatives, and other operational needs as required.
