About The Position

AMECO is seeking a highly organized and detail-oriented Senior Administrative Assistant who will be responsible for providing administrative support to warehouse and distribution operations, including work order processing, product transfers, inventory documentation, data entry, reporting, invoicing, filing, and record maintenance. Ensures accurate and timely processing and communication of warehouse-related information while providing exceptional support to internal and external customers.

Requirements

  • Minimum of two years of administrative, clerical, warehouse administrative, distribution support, or related experience required.
  • Strong data entry skills with a high degree of accuracy.
  • Proficiency in Microsoft Office applications, including Excel and Outlook, with the ability to learn and effectively use other computer applications.
  • Strong organizational, filing, documentation, and recordkeeping skills.
  • Excellent attention to detail with strong follow-through.
  • Ability to research discrepancies and identify appropriate follow-up actions.
  • Effective verbal and written communication skills with the ability to interact professionally with employees, customers, and business partners at all levels.
  • Strong customer service and interpersonal skills with the ability to establish and maintain positive working relationships.
  • Excellent time management and prioritization skills.
  • Ability to manage multiple assignments and adjust priorities as business needs change.
  • Self-motivated and able to work independently with limited day-to-day direction while exercising sound judgment.

Nice To Haves

  • Experience supporting warehouse, distribution, logistics, receiving, shipping, or inventory operations preferred.
  • Familiarity with AMECO's product offering, including construction tools and consumables, preferred.
  • General knowledge of inventory control, order processing, shipping, and receiving processes preferred.
  • Prior SAP B1 experience or exposure preferred.

Responsibilities

  • Process and maintain departmental paperwork, work order tickets, product transfers, invoices, shipping documents, and other warehouse-related records.
  • Enter, update, and maintain accurate information in SAP and other applicable business systems.
  • Review documentation for accuracy, completeness, and proper processing and follow up on discrepancies as needed.
  • Maintain organized electronic and paper files and departmental records.
  • Prepare routine reports, spreadsheets, and operational documentation to support warehouse activities and management.
  • Provide administrative support for inventory control activities, including inventory transactions, adjustments, cycle count documentation, and discrepancy research.
  • Research and assist with resolving order, shipment, inventory, invoicing, and documentation discrepancies.
  • Maintain Safety Data Sheet (SDS) information, certifications, and other required documentation as applicable.
  • Coordinate information and documentation between warehouse personnel and other departments, customers, vendors, and carriers as appropriate.
  • Monitor assigned transactions, paperwork, and requests to ensure timely completion and appropriate follow-up.
  • Respond to internal and external inquiries and provide accurate and timely information.
  • Assist warehouse management with administrative projects, reporting, recordkeeping, and general clerical support.
  • Establish and maintain positive working relationships with internal and external customers.
  • Maintain confidentiality and accuracy of company, customer, and operational information.
  • Uphold AMECO's productivity, quality, safety, and customer service standards.
  • Adhere to and support AMECO's Health, Safety & Environmental (HSE) and Sustainability Policies.
  • Perform all other duties as assigned.
